JOB OVERVIEW Pharmacy Assistant will encode data into the pharmacy management tracker, ensure order compliance, and conduct dual verification during shipment preparation. Furthermore, will assist with inventory checks, monitor consumption in mobile units, and document the movement of medical goods. Also, will oversee order preparation and shipment, verify received goods, and support the pharmaceutical manager with analysis and reporting.

KEY RESPONSIBILITIES • Entering requests for drugs and medical supplies that have been received from hospitals for donations into the pharmaceutical tracker. • Checking that the ordered quantity corresponds to the minimum indivisible packaging of the medicine or medical product. • Carrying out double control in the process of preparing donations associated with visiting the warehouse. • Checking delivery documents and medical supplies for delivery of donations. • Participating, in close cooperation with supply department employees, in conducting inventory, both planned and unscheduled, full or partial. • Periodically monitoring the consumption of medicines and medical supplies in mobile clinics. If necessary, carry out inventory in the boxes of mobile clinics. • Drawing up documents for the movement of medical goods from the warehouse on the part of the Health program and supervise the preparation of documents on the part of the SC department. • Visiting the pharmaceutical warehouse to monitor the process of order assembly and at the time of shipment of medical goods for delivery to recipients. • Participating in the process of receiving goods, check documents, physical compliance of the quality and quantity of goods received with those stated in the documents. Monitor storage conditions. • Providing support to the pharmaceutical manager in conducting an analysis of the consumption of drugs and medical products and prepare analytical documents. • If necessary, visit the pharmaceutical warehouses of our partners and carry out the necessary actions to assist in organizing the activities of the pharmaceutical warehouse. • If necessary, refilling mobile clinic boxes with medicines and medical supplies. • Providing support in other necessary matters as requested by pharmacists and the pharmaceutical manager.

JOB REQUIREMENTS Education: • A bachelor's degree in a relevant field, with a preference for candidates with a pharmacy or medical background. Experience: • A minimum of one year of prior experience, particularly in humanitarian response, pharmacy management, and mobile medical units.

Demonstrated Skills and Competencies: • Sufficient knowledge of commonly used medication, pharmacovigilance and pharmacopoeia. • Fluency in Ukrainian and Russian is required, and basic knowledge in English is desirable. • Proficiency in IT skills, including Excel, Word, and PowerPoint, is essential for tasks such as data collection, mapping updates, and providing detailed weekly reports on outreach activities.

REPORTING STRUCTURE AND TEAM COLLABORATION • Position reports to Pharmaceutical Manager. • Closely collaborate with Pharmacist, as well as other members of the health team. • Closely collaborate with Supply Chain team.

WORK ENVIRONMENT AND OTHER RELEVANT INFORMATION • This position requires full-time office work or hybrid work may be possible after a probationary period. • This position will be based in Dnipro with the ability to travel throughout the country. • Very rare, but overwork is possible • Occasional weekend work may be required. • Fast paced work, multitasking and stressful work • The organization cares about the staff and provides flexible work options. • Specific requests can be discussed with HR.
