Result of Service
The Personal Assistant(s) has successfully enhanced operational efficiency, managed personal tasks effectively, supported special projects and events, ensured the confidentiality and security of sensitive information, and contributed to the professional growth and development of the role. Enhanced Operational Efficiency Streamlined Scheduling: - Employer’s schedule managed efficiently, resulting in minimal conflicts and optimal use of time. - Timely reminders and preparations for meetings and appointments. Seek, Compile and collate inputs to draft meeting agendas. Effective Communication: - All correspondence is handled promptly and professionally. - Improved internal and external communication, leading to better coordination and relationship management. Organized Documentation: - Maintenance of well-organized files and records, ensuring easy access to important documents and information. - Preparation of high-quality reports, presentations, and briefs, supporting informed decision-making. Successful Project Execution: - Effective coordination and support for special projects, ensuring timely and successful completion. - Assistance with event planning and execution, resulting in well-organized and impactful events. Secure Handling of Information: - Sensitive and confidential information handled with the utmost discretion, maintaining trust and integrity.

Duties and Responsibilities
Administrative Support: - Managing the employer’s schedule, including appointments, meetings, and travel arrangements. - Handling correspondence, including emails, phone calls, and mail. - Preparing reports, presentations, and briefs. - Organizing and maintaining files and records. - Coordinating and assisting with special projects and events. Office Management: - Working with UNESCO on any office needs. Communication: - Acting as a liaison between the employer and internal/external parties. - Ensuring timely communication and follow-up on various matters.
Qualifications/special skills
Bachelor’s degree. • Minimum of 2 years of professional experience in administrative services. • Experience in administration, report writing and communication. • Knowledge of the UN system, rules and regulations is an asset. • Experience working with international organizations and/or government counterparts is an asset. • High proficiency with Microsoft Office software (Outlook, Word, Excel, Power Point, etc.). • Great teamwork, analytical skills, writing skills, attention to detail and problem-solving skills. • Excellent written and oral communications. • Fluency in English is required, knowledge of French is an asset. • Ability to manage information objectively, accurately, and confidentially. • Ability to work well under pressure, with flexibility and adaptability amidst evolving circumstances. • Ability to identify and execute tasks independently with thoroughness and care. • Ability to thrive with multicultural teams.
Languages
Excellent (fluency) verbal and written communication in English language. Knowledge of another UN language will be a strong asset, in specific French.
