Overview

Oversee recruitment and industrial relations processes

You have:

  • A minimum of a Bachelor’s degree in Human Resources Management, Business Administration or any Social Science
  • At least 5 years’ experience in recruitment and industrial relations
  • Must have excellent communications, management, staff engagement and facilitation skills
  • Strong conflict resolution skills
  • Excellent analytical/problem-solving skills and detail orientation
  • Ability to work in a cross-cultural environment, and must be a mature Christian
  • Capacity to function well in a team and contribute effectively to team efforts
  • Must be a member of the Zambia Institute of Human Resources Management
  • Computer literate in Word, Excel and PowerPoint

Key Responsibilities:

Recruitment

  • Forecasting employee needs
  • Ensuring that positions and new hire requisitions are promptly approved in the HR System
  • Assist Manager / Supervisors to raise requisitions and create new position in the HR System
  • Social media recruitment and headhunting
  • Post job adverts in the HR system as requisitioned and approved
  • Prepare draft advertisements based on current job profiles for both internal and external job advertisements for review by the People and Culture Manager
  • Conduct and schedule interviews for all openings as assigned
  • Conduct staff reference checks and Blocked Party Screening
  • Advise People and Culture Manager on recruitment schedules, job evaluation, re – grading of posts for remuneration
  • Update the recruitment tracker
  • Processing new contracts and contracts extension
  • Opening files for all new hires and ensuring that all documentation as per file checker is on file.
  • Track and manage employee probation and prepare confirmation letters

Onboarding

  • Facilitate on boarding of all new staff and facilitation of monthly orientation programs for all new joiners
  • Ensure safeguarding training and all relevant policies are signed off and placed on employee file

Contract Administration

  • Administer contract letters, contract amendment letters and changes in relation to maternity, paternity, family and compassionate leave, liaising with payroll to ensure that payments are made correctly and timely
  • Ensure documentation of employee information is in the right place
  • Processing promotions, acting and added responsibility letters for all staff as assigned

Expatriate Facilitation

  • Coordinate the recruitment of all international assignees and ensuring that documentation required to work in Zambia such as Visas, and work permits are obtained promptly and on time
  • Onboarding and orientation support to all International assignees
  • Processing work permit variations
  • Processing study permits for the children of international assignees

Human Resources Information System Administration

  • Load and include recruitment information on the HR Staff Surveys
  • Process all changes in the HR system and ensure that staff information is up to date. Promotions, transfers, terminations, resignations etc.
  • Provide support and training to all Employees on the HR system

Employee Engagement

  • Support with coordination of employee staff survey
  • Participate in the employee feedback sessions and reporting on recommendations
  • Conduct engagement surveys
  • Manage the P & C Newspaper

Industrial Relations

  • Provide support in all disciplinary procedures and ensure that they are disposed off promptly
  • Ensure that all documentation for the disciplinary hearing is in place in good time
  • Take minutes during disciplinary hearings
  • Provide advise to disciplinary committee on what action to take in line with the disciplinary code and labor laws
  • Filling all disciplinary employee documentation
  • Handle grievances and conflict resolution

Staff Clearance

  • Manage the exit and clearance process
  • Ensure that staff clear on time
  • Conduct exit interviews with staff
  • Provide support to exiting staff during clearance
  • Ensure that all other supporting departments are informed about exiting staff in good time

Qualifications: Education/Knowledge/Technical Skills and Experience

  • At least 5 years’ experience in recruitment and industrial relations

  • Must have excellent communications, management, staff engagement and facilitation skills
