How can you make a difference?

The Operations Assistant, GS5, is primarily responsible for assisting in the administration and implementation of the policies on Programme Cooperation Agreements (PCA) and Small Scale Funding Agreements (SSFA). This post also provides administrative support in the areas of registry operations, telecommunications, and other general office operational matters. This post provides general assistance and clerical work to the Deputy Representative Operations (DRO).

Under the supervision of the DRO the post shall undertake the following tasks:

  1. Provide initial review and initial guidance of SSFSAs and PCAs in light of current policies (global and local) and the Harmonized Approach to Cash Transfer (HACT). Ensure that these contracts are databased and filed. Provide the Project Cooperation Agreement Review Committee (CRC) with requested information. Consolidate data on PCAs for submission to NYHQ and other pertinent users. Provide assistance in the processing of SSAs.
  2. Coordinate with the UNFSCO and other partners in developing and maintaining mechanisms (e.g. telephone tree, ISECT database, issuance of cellular phones and satellite phones, medical evacuation contracts) to ensure safety of staff and dependents.
  3. Assist in the consolidation of the Annual Management Plan (AMP), Operations Annual Work Plans, travel and leave plans of staff within the Section. Prepare minutes of Operations Section meetings.
  4. Prepare payment requests for transactions related to above functions and responsibilities including general operational payments for the zone offices such as janitorial, security guards and rental. Input in PnP the names of persons or individuals on the basis of programme requests.
  5. Provide administrative and clerical support to the Deputy Representative Operations.
  6. Serve as operational back-up for UNICEF zone offices. Ensure documents related to operational matters are maintained and kept up-to-date.
  7. Collaborates in forming emergency preparedness plan. In case of emergency, participates in monitoring and assessing the nature and extent of the emergency in the assigned area. Coordinates and provides assistance to the Country Office in identifying where support is required in terms of immediate response as well as long-term strategy and plan.
  8. Perform other duties as assigned.

To qualify as an advocate for every child you will have…

  • Completed secondary education with progressive formal or “on the job” training essential on relevant technical field is preferred.
  • A minimum of five (5) years of relevant professional experience in operations is required.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Demonstrated ability and skills to work with the diverse civil society players.
  • Background and/or familiarity with emergency is a plus
  • Relevant experience in a UN system agency or organization is considered as an asset.
  • Progressively responsible experience in supporting UNICEF's operational divisions, including: office management, finance/ accounting/ budget, IT, supply/logistics, clerical, secretarial, or other administrative work is a plus
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
