Job Overview:

The Northwest Refuge & Care Alliance Program Administrator will provide critical administrative support, effectively carrying out tasks related to direct service provision, partnership, community engagement, and donor compliance to the Services for Afghan Survivors of Combat (SASIC) and Survivors of Torture (SOT) Programs. Under the supervision of the Senior Manager for Health and Wellness, the Program Administrator is responsible for meeting the administrative program requirements which include but are not limited to invoice tracking, processing payment requests, documenting goods and services provided to program participants, and inputting data for monthly reports with a high level of detail and efficiency.

Major Responsibilities:

· Support the Services for Afghan Survivors of Combat (SASIC) and Survivors of Torture (SOT) teams in providing trauma-informed, client-centered services to IRC participants through administrative coordination and effective communication between team members and departments.

· Manage In-Kind/”Match” documentation with community partners and other donated service providers, ensuring appropriate documentation and record keeping, as well as documenting and reporting value of donated services and volunteer hours.

- Review and update services intake paperwork and process, as needed. - Gather, input, and report monthly and quarterly data and developments. - Support program evaluation and assessment activities. - Input program activities and data into database. - Support program supply needs in coordination with Operations team. - Process monthly financial reports from sub-award partners. - Initiate the payment request process using IRC’s internal financial management system for programmatic financial needs. - Ensure payment requests are made and completed in a timely manner to meet deadlines. - Record payments according to established operations procedures and maintain proper documentation to ensure compliance with IRC standards and donor requirements. - Conduct proper financial reconciliation using IRC operational tools. - Maintain and manage administrative documentation and processes.

· Support maintenance of available community resources database.

- Participate in program meetings, and staff development activities. - Comply with all policies, procedures, and protocols of the organization. - Responsibly represent IRC through communications with external program participants, partners, and community members. - Other responsibilities as needed and assigned.

External: Harborview Medical Center, Health Point Community Health Centers, MAPS-MCRC, Washington State Department of Health, Seattle King County Public Health, Public Health Refugee Screening Program, Kabul Washington Association, Northwest Immigration Rights Project (NWIRP)

Qualifications Job Requirements:

- Relevant degree or equivalent professional and/or lived experience - Experience providing administrative support to non-profit social services organizations or programs - Excellent organizational skills, high level attention to detail - Demonstrated ability to navigate and use web-based financial, project management, and database platforms - Experience working with immigrants who have experienced harm, cross-cultural or overseas experience accepted - The skills and knowledge typically acquired through 2-3 years of work experience delivering administrative support to programs providing services to people who have experienced harm - Demonstrated experience with trauma-informed, person-centered approach - English proficiency, both spoken and written, and professional proficiency in relevant language(s) spoken by local refugee and immigrant communities - Strong intercultural communication skills: demonstrated ability to work effectively with people from diverse backgrounds and across language diversity - Ability to maintain quality notes and documentation in accurate and timely manner - Commitment to anti-racism and ongoing learning - Comfortable working in high-stress, multicultural environments; must be adaptable, flexible, and patient - Excellent problem-solving skills combined and the ability to prioritize duties and manage time effectively - Proficient with Windows operating system and confidence in computer skills (word processing, email, data entry); willingness and ability to learn new software - Ability to work independently to ensure proactive, quality performance of duties, as well as ability to work as part of a team - Access to reliable transportation to travel regularly throughout the service delivery area
