Organizational Setting

The Food and Agriculture Organization of the United Nations (FAO) is implementing an EU-funded project “Inclusive, competitive and sustainable value chain development in agriculture, fisheries and forestry”, a 4-year, multi-sectoral, multidisciplinary develop- ment project that seeks to make agriculture, forestry and fisheries more productive and more sustainable; reduce rural poverty; and enable more inclusive and efficient agricultural and food systems.

The Project is implemented through 4 components focusing on (1) improving the policy environment; data, research and monitor- ing; and governance systems in fisheries and aquaculture sectors; (2) strengthening the enabling environment for the forestry sector to help secure the long-term sustainability of forest management and to improve evidence-based policymaking in the sector; and (3) strengthening select food value chains through improved access to finance, inputs and services to support integration of smallholder farmers into sustainable value chains, and (4) emergency response to the needs of the affected population. The Project is implemented in Zakarapattia Ivano-Frankivsk and Lviv Oblasts, subject to possible further geographic coverage in the course of implementation.

Reporting Lines

The Project Specialist will operate under the overall supervision of the Head of the FAO Ukraine Country Office and work under the technical guidance of the Project Lead Technical Officer – Economist at FAO’s Regional Office for Europe and Central Asia, based in Budapest (REU) and direct supervision of the Project Team Leader and other relevant staff.

Technical Focus:

The Project Specialist will be responsible for supporting the project team in all administrative tasks, supporting operations of the project office and ensuring smooth communication between the project office and other operational units of FAO in Ukraine and regionally.

Tasks and responsibilities****:

  • Gather information to support drafting selected project’ documents.
  • Participate in preparation of project’s work plans in line with standard agreed formats.
  • Timely initiate drafting and preparation of Letters of Agreements, Procurement Plans, Purchase Requisitions, Travel Plans, Travel Authorizations and other documents.
  • Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to effective and timely management of resources.
  • Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  • Participate in project meetings, draft minutes, notes, support team members in preparation of Power Point presentations and other materials.
  • Organize and participate in project meetings with partners, stakeholders and beneficiaries.
  • Support revisions of narrative reports of Service Providers and/or Beneficiaries and coordinate timely obtaining of the necessary clearances.
  • Support execution of the project’s communication plan.
  • Translate documents from English to Ukrainian and vice versa.
  • Ensure availability of office supplies and materials.
  • Performa any other duties as required by FAO

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

  • University degree in Business Administration, Economics, Finance, Social sciences, etc.
  • Three years of relevant experience in administrative and office support work.
  • Language skills: Excellent knowledge (Level C) of English; fluency in Ukrainian.
  • IT Skills: Good knowledge of MS Office applications, Internet and office technology equipment. Ability to use information systems and databases to insert data, make enquiries, retrieve/define ad hoc reports and analyses and edit results in an appropriate format.
  • Nationality of Ukraine.
