Who are we?

The Finance, Risk and Supply Chain (FRISC) department at DRC, govern and are the custodians of the finance and supply chain activities of DRC. There are over 60 dedicated staff in the department supporting DRC’s operations internationally and in Denmark. Supporting the implementation and management of an annual budget of around 500 million USD the department is an integral part of DRC achieving its goals and objectives. The 8 dedicated managers lead the Department’s teams and are responsible for ensuring internal and external reporting and communications on the financial and supply chain activities of DRC.

About the job

The Management Support Coordinator position is an essential part of the management team in the FRISC department at DRC. You will perform a variety of tasks to support the Executive Director for FRISC and to support coordination and communication in and across the organization at large. The interesting responsibilities you will have and tasks you will be involved in include:

  • Assist management to plan, initiate and coordinate strategic priorities, annual processes and workstreams across the departments and the overall organisation.
  • Prepare high-quality analyses, agendas, memos and decision-making materials for management meetings.
  • Follow up on selected actions, support change initiatives, and be the proactive coordinating body on implementation of management decisions in the department.
  • Ensure documentation and information management of management decisions and organisational processes.
  • Develop and lead internal communication initiatives in the department and support communication across DRC.
  • Develop Power Point presentations and general communication material for the Executive director to use both internally and externally.
  • Act as technical super user and coordinator for FRISC’s SharePoint site, including maintenance of internal communication.
  • Plan and execute meetings and global conferences.
  • Respond to ad hoc requests across the department.
  • In addition, you will be responsible for and engaged in cross-departmental priorities and work processes, as required. The job includes the possibility to participate in and drive cross-cutting projects within different areas.

About you

To excel in this role, we expect you to have a service minded, structured, and proactive nature. You should be able to establish oversight, take initiative, and be comfortable providing flexible support according to management needs in complex working environments. You have the unique talent of being able to bring a group of managers into line and to support them to deliver at their best. At times it will mean you just need to give a simple reminder but at other times it will take a bit more, so you need to be confident and dynamic. Your communication skills will enable you to translate a lot of finance and supply chain speak into palatable information for the many stakeholders at all levels of the organisation. A desire to work in the NGO sector will give you the understanding to work more aligned with a very dedicated team.

Moreover, we also expect the following:

Required:

  • Highly independent self-starter.
  • Good understanding of support needed to drive management work and support management accountabilities at senior levels.
  • Excellent coordination and communication skills – both oral and written.
  • Excellent interpersonal skills, a helpful and flexible attitude, and an ability to work as part of an interdisciplinary and multicultural environment.
  • Excellent analytical and organisational skills.
  • Ability to balance competing priorities, work under pressure and carry out tasks in a structured and systematic manner.
  • Excellent Microsoft Office 365 skills.
  • Experience/interest in working with digital solutions for communication and collaboration.
  • Experience in driving organisational change and/or strategic processes and projects is a strong asset.

  • Academic degree (bachelor or masters).

  • Excellent English language skills – written and oral.

Desirable:

  • Interest in and flair for budgeting and administration is an asset.
  • Experience within large, global companies or organisations.

We offer

Workplace: Copenhagen (DRC HQ). Due to the urgency in filling the role, you need to have the right to work in Denmark (through nationality or existing work visa) to be considered for this role.

Start date: 1 June 2024

This position is permanent.

Salary and conditions will be in accordance with the agreement between DRC and AC (fuldmægtig-level). This is a national position for which local terms and conditions apply.
