Danish Refugee Council is looking for an ambitious and service minded Management Support and Administration (MSA) Coordinator for DRC´s Headquarters, Copenhagen. You will join the Programme Division (PD) in DRC’s department for Strategy, Programme and Learning (SPL), supporting a division of approximately 50 colleagues. The position will also provide close support to DRC’s global strategy 2025.

****Who are we****

The Programme Division is responsible for driving DRC’s programmatic thinking, content and quality across DRC’s global operations in approximately 40 countries. It consists of seven units representing core programmatic areas for DRC such as emergency response, protection and programme innovation. Programme Division leads on our global programmatic approach, including our core sectors and areas such as climate change and localization.

About the job

You will perform a variety of tasks to support the Global Programme Director in his overall leadership and management responsibilities, and to support administration, coordination and communication across the Programme Division at large. This includes, but is not limited to:

  • Management support to the Programme Director, e.g. helping to plan, initiate and coordinate key management processes (such as strategic planning) across the programme division.
  • Coordination and support to the Strategy 2025 lead, helping to monitor, track and communicate on the delivery of DRC’s global Strategy 2025.
  • Events planning and support to Programme Division global events, e.g. coordinating or participating in event planning for key events such as the yearly Head of Programme meeting.
  • Information & knowledge management in Programme Division, e.g. leading and organising the information management system across Insite and sharepoint workspaces.
  • Administrative coordination and support, i.e. supporting and coordinating the work of student assistant(s) to ensure that core administration needs of Programme Division are lifted.

In all of this, you will be expected to plan or facilitate meetings; participate in, support to and sometimes orchestrate cross-division processes; manage the many diverse stakeholders across the division; draft presentations, agendas and memos; respond to ad hoc requests across the department; and more. It is a fast-moving, challenging and diverse area of responsibility at the heart of DRC’s programmatic thinking.

About you

To undertake this role, we expect you to have strong generalist competencies, but above all a service minded, structured, and proactive nature. You should be able to establish oversight, take initiative, and be comfortable providing flexible support according to management needs.

Competencies of the successful applicant:

  • Highly independent self-starter
  • 3-4+ years of experience within large, global companies or organisations
  • 1+ years of field experience
  • Excellent coordination and communication skills – both oral and written
  • Excellent analytical and organisational skills, and an ability to maintain a systematic overview
  • Strong interpersonal skills and a proactive, service-minded and flexible attitude
  • Ability to balance competing priorities, work under pressure and carry out tasks in a structured and systematic manner
  • Excellent IT and technical know-how in Office 365 and other platforms of communication
  • Experience in driving organizational processes and projects
  • Experience of administrative processes

Required

  • Academic degree (bachelor or masters).
  • Experience within large, global companies or organisations.
  • Excellent English language skills – written and oral.

We offer

Contract length: 12 months with likely extension subject to funding

Workplace: Borgergade 10, Copenhagen

Start date: 1 September 2023 or as soon as possible thereafter

End date: 31 August 2024

The position is temporary as the position has currently only been funded until 31 August 2024

Salary and conditions will be in accordance with the agreement between DRC and AC. The position is at “fuldmægtig” level. This is a national position for which local terms and conditions apply.
