How can you make a difference?

The post of Logistics Officer (Global Hubs), P2 is a temporary appointment (TA for 10 months) established to cover the Maternity Leave of a staff member, which is in UNICEF Supply Division under the Warehouse and Inventory Management Centre (WIMC).

The Logistics Officer reports to the Logistics Specialist (Global Hubs Management) as per the Supply Division’s WIMC set-up and is responsible for the operations of the global SD-managed warehouse hubs. The incumbent supports the Logistics Specialist (Global Hubs management) on the daily operation of the hubs as well as global hubs’ related projects and strategies. The incumbent of the post provides support to the Logistics Specialist in terms of support in terms of data management and reporting to ensure optimal planning, distribution and positioning of stocks in the hubs.

Key functions and responsibilities:

  1. Hub operations
  • Assist with the coordination of the inbound and outbound operations in the hubs including the execution of timely goods receipt of
  • Monitoring of replenishment POs and the packing of outbound deliveries in SAP.
  • Assist with the review of the monthly stock report and with the investigation of stock differences, if any. Participate in the planning and execution of ad-hoc and bi-annual physical inventory counts.
  • Initiate and track stock transfers amongst hubs and SD Warehouse in consultation with Plan & Source and Logistics Specialist.
  • Verify and process invoices for hub related operations in accordance with the contracts in place.
  • Monitor the hub contracts in place and ensure compliance as well as timely amendments if needed.
  1. Data management, monitoring and reporting
  • Extract datasets from UNICEF’s SAP and partner-supplied information to help create dashboards related to the hub operation, monitor and
  • analyze key performance indicators and supply information/data from various systems with a view to drive improvements and ensure efficient and
  • effective processing of deliveries and timely emergency response.
  • Provide weekly inbound and outbound reports for internal and external (service providers) use
  • Assist with quarterly and yearly partner reporting
  • Ad-hoc reports as requested
  1. Project Support
  • In collaboration with the Logistics Specialist (Global Hubs Management), assist and provide support to various quality improvement projects in
  • the area of warehouse and inventory management of hubs.
  • Coordinate and undertake testing of related systems in coordination with internal and external stakeholders.
  • Assist with project related tasks and monitor timelines and coordinate with internal/external stakeholders to ensure timely submission of
  • deliverables and implementation of tasks.
  • Create and maintain documentation for the systems and operation of the hubs.

Education

  • A completed 1st University Degree (Bachelor’s Degree) is required in Business Administration, Management, Supply Chain Management, Logistics or Procurement or other related field.

Work Experience

  • A minimum of two (2) years of relevant experience, at the national and international levels, in supply, logistics in general and warehouse and inventory management in particular.
  • Understanding of development and humanitarian work.

Functional / technical skills

  • Intermediate to Advanced user of VISION/SAP required.
  • Intermediate to Advanced user of Excel required.
  • Experience with inventory management and stock taking is an asset.

Languages

  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) is an asset.
