MAJOR RESPONSIBILITIES

Link supply chain between Area Programs/Projects and National Office

  • Coordinate and track the movement of goods through logistic pathways for all items ordered.
  • Daily receiving of goods from National office departments of the delivery process.
  • Receiving supplies by respective users without damage and shortage.
  • Developed Transportation plan and properly negotiated with transporter for item movement.
  • Ensure materials were shipped to APs/Projects promptly.
  • Follow up with APs/Projects and collect GRNs on time.
  • Responsible for supervising and accounting for inventory.
  • Provide a list of all equipment moved from the consolidation areas into sponsor shipping channels to APs/projects.
  • Collect bills and settle them on time.
  • Responsible for supervising and accounting for an inventory
  • Carry out bi-annual annual assets/equipment inventories and provide other reports in the area of responsibility.

Maintained smooth operation of warehouse management and ensured goods delivery in smooth running condition

  • Supervise weekly/daily check stock in and out at the Warehouse and necessary prompt correction.
  • Proper monthly summary of delivery records
  • Regular check of stock in and out at stock card & bin card.
  • Update waybill IN OUT process and records.
  • Support the Procurement team on suppliers sourcing and pre-qualify suppliers process (transporters, workshops, etc.)

Smooth Logistics service and clearance process

  • Ensure compliance: Monitor and ensure adherence to import and export regulations, including customs laws, trade agreements, and licensing requirements.
  • Documentation Management: Prepare and review import and export documentation, including invoices, packing lists, bills of lading, and customs declarations to ensure accuracy and compliance.
  • Coordinate shipments: Collaborate with freight forwarders and logistics providers to arrange transportation, track shipments, and manage customs clearance processes.
  • Customs clearance: Liaise with customs authorities to ensure smooth clearance of imported and exported goods, resolve any issues that arise, and address customs inquiries or audits.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

  • At least 2 years of work experience in supply chain management-related skills (team support, delivery management)
  • Bachelor's Degree in Any Discipline
  • Strong Communication and business dealing skills.
  • Good working knowledge of Supply Chain Management system
  • Good knowledge of transport
  • Knowledge of mechanical work
  • Good interpersonal, time management and analytical skills
  • Well knowledge of Logistic Activities
  • Computer Literate (Microsoft Office Applications)
