Result of Service

The work of the consultant will contribute to the design and implementation of the One Planet Network Forum, taking place 12-13 September in Rio de Janeiro, Brazil, in particular to help facilitate the event on the ground, in Rio de Janeiro, Brazil. The objective of this consultancy is to ensure the successful organization and execution of on-ground management and coordination of this event, ensuring the vendors and local equipment meet the Forum's sustainability goals and provide a seamless experience for all participants.

Duties and Responsibilities

The United Nations Environment Programme (UNEP) is the voice for the environment within the United Nations system. UNEP acts as a catalyst, advocate, educator and facilitator to promote the wise use and sustainable development of the global environment. UNEP's Industry and Economy division plays a leading role in the Green Economy Initiative (GEI), which aims to transition national economies onto a new path, in which jobs and output growth are driven by increased investment in green sectors, and by a switch of consumers’ preferences towards environmentally friendly goods and services. Located within the Industry and Economy Division, the Resources and Markets Branch (RMB) Branch examines how economics, trade, and finance interact with the environment and contribute to sustainable development at the local, national, regional, and global levels. Within the RMB, One Planet Network Secretariat is hosted. The One Planet Network (OPN) is a solutions-driven global community of practitioners, policymakers and experts, including governments, businesses, civil society, academia and international organisations, that implements the 10-Year Framework of Programmes on Sustainable Consumption and Production and works towards achieving SDG 12: ensuring sustainable patterns of consumption and production. On 12-13 September OPN is convening a One Planet Network Forum - a global platform for cooperation and thought leadership convened by the One Planet Network to accelerate the implementation of SCP and SDG12. In this context, in order to complement existing in-house capacity and expertise, the OPN is recruiting a consultant to contribute to the OPN Forum and aid in a crucial role in planning, organizing, and executing this high-profile event in Rio de Janeiro, Brazil. Specific tasks and responsibilities: The Local Event Consultant will undertake the following tasks: Event Planning and Coordination: • Assist in developing a comprehensive event plan in coordination with the OPN Forum central organizing team. • Manage local logistics, including transportation, accommodation, and venue arrangements. Vendor and Supplier Management: • Identify and liaise with local vendors and suppliers for catering, audiovisual equipment, and other event services. • Ensure all vendors adhere to sustainability practices in line with the Forum's guidelines. • Establish and maintain strong relationships with all local vendors and suppliers. Stakeholder Engagement: • Coordinate with local stakeholders, including government officials, non-governmental organizations, and community leaders. • Liaise with the OPN Forum organising team with regards to local representatives participation in the programme of the Forum, such as Agora sessions, plenaries or thematic sessions • Liaise with the OPN Forum organising team to manage invitations and RSVPs for local attendees. Venue Management: • Oversee the setup and teardown of event venues. • Oversee and ensure the correct setup of technical and other equipment in the event venues for all the parts of the OPN Forum. • Ensure venues are equipped with necessary facilities and comply with health and safety regulations. Catering and Hospitality: • Source and manage local catering services that offer sustainable and locally sourced food options. • Ensure high-quality hospitality services for all participants. Communications and Marketing Support: • Liaise with the OPN Forum organising Team to develop all “on the ground” materials and localised content • Assist in the development and distribution of local promotional materials. • Coordinate with local media for event coverage. On-site Event Management: • Provide on-ground support during the OPN Forum, ensuring all logistics run smoothly. • Address any issues that arise promptly and effectively. Post-event Activities: • Conduct a post-event review, including feedback from participants and stakeholders. • Prepare a report on the local management of the events, including recommendations for future improvements.

Qualifications/special skills

• Post Graduate Degree (Masters level or above) in Event Management, Public Relations, Hospitality, or a related field. A first-level university degree with two additional years of qualifying experience, may be accepted in lieu of the advanced university degree. • Minimum of 7 years of experience in managing events, preferably within local (in Brazil) and also international context is required. • Knowledge of the local context in Rio de Janeiro, Brazil is required. • Strong organizational and communication skills is required. • Proven ability to manage budgets and logistics for large-scale events is required. • Experience working with international organizations or UN agencies is highly desirable.

Languages

English and French are the two working languages of the United Nations Secretariat. For this post, fluency in English is required. Fluency in Portuguese is also required.
