Job Description

The LHIF Knowledge Management and Membership Officer is responsible for providing membership services, supporting operational guidance and coordination while ensuring core administrative, logistical, and information management support to the LHIF Secretariat hosted by IRC.

Major Responsibilities:

Knowledge and project management:

- Collect data from members to support LHIF coordination, communications and advocacy as requested and with a particular focus on operational analysis to be shared with members and with sister-forum LHDF. - Develop good working relationships and coordinate with key staff among LHIF members and partners, to better facilitate rapid information flow, knowledge management and reporting for effective implementation of LHIF-related activities. - Management of LHIF Finance Manager and other operational group meetings, including the access monitoring and security info workstreams. - Facilitate and support information management of LHIF members and partners’ operational and access issues through data collection, analysis and reporting to relevant stakeholders. - Develop LHIF operational notes and briefing papers to facilitate coordination and advocacy amidst a rapidly changing context. - Track and report on LHIF activity progress in the Activity Log and manage quarterly reviews with the Steering Committee against the Strategic Action Plan and Joint LHDF/LHIF Partnership Strategy (under development). - Assist, in coordination with LHIF Country Coordinator and Host Agency Grants Manager, in periodic LHIF project reporting to relevant donors and integrate tracking of LHIF-related project expenses on a regular basis (inc. membership fee account).

Administration and membership services:

- Serve as the executive officer to the LHIF Country Coordinator and LHIF Steering Committee. - Facilitate accurate public information about LHIF’s mission and activities. - Ensure smooth running of regular LHIF Secretariat office functions, including procurement of required goods and services, scheduling, transportation, expenditure tracking, reception, and other administrative functions, in close cooperation and in accordance with the policies of LHIF’s Host Agency IRC. - Manage organization, scheduling, venues and other logistics for regular and ad hoc LHIF coordination meetings, workshops and events. - Facilitate LHIF information sharing and exchange by: - Maintaining up-to-date contact lists of LHIF members, observers, and relevant partners including UN agencies, local/national NGOs, and the donor/diplomatic community. - Ensuring that relevant reports, announcements, and updates are timely and consistently circulated to LHIF members, observers and partners via regular LHIF digest emails and newsletters. - Maintain the LHIF website and various sharepoints, ensuring the information remains systematically up-to-date. - Ensure up to date and smooth information flow across different LHIF communication channels. - Provide unofficial translation of written text from English to Arabic and Arabic to English as needed (e.g., media articles, government decrees, LHIF communications materials). - Prepare and disseminate detailed notes of different LHIF coordination meetings in addition to tracking member attendance and participation statistics. - Monitor the [email protected] email address and forward messages to the appropriate LHIF Secretariat staff or Steering Committee members as needed.

Qualifications

Job Requirements:

Work Experience:

3-5 years of experience in project and office management, administration and/or logistical support, preferably with humanitarian or development NGOs and ideally in a joint agency setting.

Demonstrated Skills and Competencies:

Education: University degree, or a relevant combination of academic qualifications and experience.

Language Skills: Very good English and Arabic.

Preferred experience & skills:

- Excellent organizational, administrative and time management skills. - Excellent written and spoken English and Arabic required, French desirable. Ability to adequately translate written text between English and Arabic essential. - Competent in Microsoft Office (Word, Excel, Outlook, PowerPoint); basic website management skills desirable. - Ability to respect confidentiality essential. - Ability to work productively both independently and within a team, detail-oriented, energetic, and flexible. - Commitment to humanitarian principles and to working in partnership across organizations - Experience with the LNGO and donor sectors, specifically as they pertain to refugee issues, is highly desirable. - Ability to multitask and deliver a wide range of tasks, often within short deadlines. - A good team player. - Basic photography, video and social media skills are highly desirable. - Graphic design and video editing skills desirable, but not essential. - Excellent English and Arabic, oral and written.
