Organizational Setting

The FAO Representation in Bangladesh is responsible for leading FAO's response to regional priorities for food security, agriculture and rural development through the identification, planning, and implementation of FAO's priority activities in the country. It ensures a multidisciplinary approach to programmes, identifies priority areas of action for the Organization in Bangladesh and, in collaboration with Regional Office for Asia and Pacific and the departments and divisions at Headquarters, develops, promotes and oversees FAO's strategic response to the country priorities. The representation also supports the regional office in the incorporation of regional priorities into the Organization's Programme of Work and Budget and implements approved programmes and projects in the country, monitors the level of programme implementation and draws attention to problems and deficiencies. The office also develops and maintains relations with Government of Bangladesh, UN agencies, the resource partners and other development institution at the country level.

Reporting Lines

The Junior Project Assistant is a SC1 and under the overall supervision of the FAO Representative in Bangladesh and work in close consultation with the Assistant FAO Representative (Programme), Technical Advisors/Specialists, Project Coordinators and other members of the programme team.

Technical Focus

The incumbent will support to the implementation of project activities for the Programme/Emergency Unit.

Tasks and responsibilities

• Respond to a variety of routine queries and provide clarifications on programme and project matters; inform management and team members of processes, procedures and timeframes to secure administrative services needed for programme/project execution; initiate correspondence to verify data, obtain additional information on transactions and budgetary matters. • Assist TCP project formulation and implementation. • Assist in programme interventions of emergency projects as well as Programme Unit. • Assist NPS to liaison with the Government Offices and partnership management for effective programme implementation. • Ensure daily, weekly and monthly reporting according to prescribe templates for programme and donors • Carry out management and record keeping of important project related documents (contracts, amendments, letters) and other relevant resources as required. • Assist Programme Units donors and partners mapping with regular updating of relevant tools. • Liaise with ERD, assisting to prepare for Agreement and reporting etc. • Screen incoming correspondence to identify issues requiring further attention and draft related correspondence • Provide administrative and logistics support to programme meetings, workshops and conferences, draft meeting minutes. • Review current processes and make recommendations to improve programme/projects administration procedures. • Prepare event/workshop/seminar budgets; cash advance requests, process vendor’s payment requests through DV for matched and unmatched invoices. Arrange local travel, hotel accommodations and flight bookings for national project staffs, visitors and consultants. • Participate in all programme meetings and take meeting minutes for further follow up with Technical Advisor/project supervisor. • Any other task assigned by the Supervisor.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• Bachelor in agriculture/ science or social science discipline. Preference will be given to candidates with undergraduate and/or postgraduate degree in any branch of agriculture/Environmental Science/Climate Change/ disaster management/ Statistics/ and Development Studies. • Minimum 1 year of relevant professional experience to handle a programme and information management including work experience with national and international NGO’s, Universities, UN agencies, governments and development partners. • Working knowledge of English. • National of Bangladesh.

• Strong analytical skills: ability to summarize and present complex information in effective manner. • Skills in networking, negotiation, persuasion and advocacy for mainstreaming new concepts and approaches. • Timely completion of assigned tasks • Fluency in English and Bangla (both oral and written); • Proficient computer skills - Microsoft Office software, email, internet, spread sheets; • Survey designs questionnaire development; • Skills in staff management and capacity development • Experience in organization of events, meetings, seminars, workshops, in taking notes of those events and preparation of minutes/proceedings.
