How can you make a difference?

The Administrative Associate will be reporting to the Admin. Officer NOB who leads the Admin. unit, which is part of the Finance and Admin. section. The Administrative Associate is responsible for executing a broad variety of procedural and specialized administrative tasks for two Admin sub-units, namely Transport and Travel & Protocol. This position is an all-rounder post and as such, the incumbent is expected to act as OiC in both sub-units.

Summary of key functions/accountabilities:

1. Transport:

  • Manage BCO Transport pool dispatch through the online vehicle booking system (with the support of GS3 drivers).
  • Orient and guide staff and drivers on the online booking system. Assign, record, and monitor the use of all daily transport requests with proper supporting documents.
  • Ensures that all the vehicles are kept clean and ready to always use.
  • Oversee procedures in case of accidents (SIR; escalation; etc.)
  • Request fuel coupons, and maintain and monitor fuel consumption records of all vehicles are properly recorded including maintenance records.
  • Ensure that the pool vehicles have proper valid documents before assigning for duty.
  • Check/ verify vehicle maintenance records and fuel entry in the Master Logbook when invoices are received.
  • Check transport-related invoices before further processing.

2. Protocol Services:

  • Assist staff members in obtaining Bangladesh visas through Bangladesh Embassies.
  • Arrange Bangladesh visas for international staff, UNICEF's International Professionals, and their dependents across BCO.
  • Liaise with MoFA and Bangladesh embassies to facilitate smooth visa issuance.
  • Issue Note verbale for incoming staff members and other officials and delegations.
  • Ensure security clearance is timely granted for international staff members' visits to the Chittagong Hill Tracts.
  • Provide Protocol services to UNICEF senior management and VIP guests.
  • Stay well-informed and maintain a proactive approach to stay updated on the most recent government visa policy developments and changes

3. Administration support:

  • Coordinate the issuance of passbooks from Customs Bond for international staff. Manage renewal process.
  • Obtain endorsements from the NBR and MoFA for passbook issuance.
  • Assist staff members in registering their personally purchased or imported vehicles in the passbook.
  • Arrange registration of the vehicle purchased by the staff members.
  • Seek permission from the NBR for the disposal of a UNICEF Car to a Non-privileged Person.

4. Other activities:

  • Support TA management as a Backup resource person.
  • As needed: Provide administrative support to organize meetings, workshops, trainings, etc. for different national and international events, ensuring value for money.
  • Ensure OiCship for both Travel & Protocol and Transport units.

The following minimum requirements:

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • A minimum of 6 years of relevant administrative or clerical work experience is required.
  • Bachelor’s degree from a recognized academic institution in a relevant field may replace three years of related work experience. A master’s degree may replace an additional two years.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
