BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The HR Technology and Analytics Branch - HRMOI is responsible for on-going support to critical HR operational processes through the appropriate provision and application of information, processes and enabling technologies. It is also responsible for the developing of the HR Division Technology strategy and roadmap that will support integrated talent management processes, enable full visibility into our global workforce by deploying a technology solution that integrates people processes, data and intelligence from corporate and satellite systems and databases, and will provide workforce analytics and tools to support evidence-based decision making across people-related processes (in particular workforce planning, recruitment, reassignment and deployment to emergencies).

The Branch consists of three teams:

(1) HR Technology Deployment;

(2) HR Systems Administration and Support;

(3) HR Reporting & Analytics.

ACCOUNTABILITIES/RESPONSIBILITIES:

This position is under the overall supervision of the Head of HR Systems Administration & Support, and the direct supervision of the Professional HR Officer in the Systems Administration & Support (SAS) Team. Under guidance of Professional HR Officer this position takes part in the business support of the local stream team as follows:

  1. Coordinate and oversee the data cleansing activities in SAP HR in view of the HCM Data Migration.
  2. Compile, review and analyze a variety of data on locally recruited field employees to support the data clean-up exercises;
  3. Liaise with UNDP for monitoring data accuracy and ensure correctness of payroll data;
  4. Provide assistance on HR queries and follow up actions, to ensure consistent and high-quality HR services are delivered to HR colleagues and users in Country Offices and Regional Bureaux;
  5. Liaise with HR field colleagues regarding documentation of HR processes and systems including the preparation and delivery of guidelines and training for the user community;
  6. Provide guidance to HR users worldwide in the correct use of HR systems for processing personnel actions;
  7. Monitor/Follow up incoming queries/issues through the dedicated Inbox and GSM tickets;
  8. Assist in monitoring correct HR master data entries for monthly payroll runs;
  9. Analyse system errors and liaise with TEC counterpart to seek solutions or identify workaround solutions if required;
  10. Assist with testing interfaces between WFP Payroll and HCM Systems
  11. Provide support to the SAS team when needed, in compliance with relevant processes and procedures, including drafting Business Requirements documentation, testing and validating IT solutions;
  12. Other duties as required.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

Bachelor’s degree in Human Resources, Computer engineering or related field.

Experience:

One to three years of progressively responsible work experience in general administrative work, including at least one year in human resources in an international context.

Work experience in HR systems administration and support would be an advantage.

Knowledge & Skills:

  • Knowledge of UN business processes, practices and procedures.

    • Knowledge and ability to interpret HR rules, regulations and data.
    • Previous experience in HR Operations and working with SAP HR modules is an asset.
    • Experience in customer service support.
    • Good analytical and computer skills (advanced level of Excel is an asset);
    • Good interpersonal and communication skills;
    • Good understanding of HR principles and their application in order to respond to and resolve a range of HR queries;
    • Ability to build relationships with a variety of individuals across functions and outside WFP in order to effectively contribute to the functioning of the unit.

    Languages:

    Fluency in oral and written English and an intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) is an asset.
