ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). The Job holders report to a Head of the Unit, Chief or Information Technology Officer, or the designate. At this level job holders are expected to take responsibility for completion of a range of processes and activities requiring interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other staff.

JOB PURPOSE

Reference to the retargeting project in Syria by the Programme, we have started implementing phase 2 of the project which will introduce technology (VIBES) for the distribution of the General Food Assistance beneficiaries that will help programme track the distributions. With the introduction of VIBES, the number of calls to support CPs implementing the solution are going to increase. Based on this, there is need for additional resource to provide pt line support for the VIBES application and continued support for equipment management for items on loan to CPs and within the office

KEY ACCOUNTABILITIES (not all-inclusive)

SYCO VIBES support focal point :

• Respond to queries about VIBES to assist FO and CP deliver assistance to beneficiaries • Support the Development team, provide standard refresher training to end users of VIBES • Suggest improvement to methods and processes to support the continuous improvement VIBES implementation

SYCO ICT Asset Management Focal Point & Global Management System (GEMS) Focal Point, as well as all the activities related to Asset management in SYCO:

Control, follow up and track all ICT asset management issues on a timely manner • Create, update and manage all ICT asset records in GEMS (EMT/Equipment Master Records). • Input & update the inventory report in Global Equipment Management System GEMS • Manage & maintain new purchased ICT asset receipt, in addition to label the new assets once received. • Perform & organise the Annual Physical Inventory count in all STCO ICT Items, in addition to the reconciliation phase of the count results with already existing items in GEMS with the attempt of reaching the maximum accuracy in the corporation with Admin unit • Manage all ICT hand over and loan forms to staff, CPS and retailers • Local Property Survey Board (LPSB) secretary for all SYCO disposal of assets, as per WFP rules and regulations within a suitable timetable. In addition to conduct urgent LPSB committee meetings for sudden disposal cases • Draft cases and recommendation to LPSB committee review and decisions, call forward the LPSB, acquire all signatures and follow up on all approved recommendations in corporation with Admin unit • Maintain records of all current cases and status of recommendations • Train new asset focal points on GEMS with all the related technical materials in addition to the related implementation of new applications (such as new GEMS mobile application) • Other tasks as required

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in IT is desirable

Language: Fluency in both oral and written communication in English and Arabic.

Experience: At least four years of progressively responsible work experience in the IT.
