UNDP Barbados and the OECS aims to bring together the different UN agencies to improve the efficiency and effectiveness of United Nations system at the country level. Resident Representative a.i. Leni Montiel leads the United Nations Subregional Team for Barbados and the Eastern Caribbean, with shared responsibility for ten countries of the Eastern Caribbean. The sub-regional office is comprised of seven independent nations (Barbados, Antigua and Barbuda, Commonwealth of Dominica, Grenada, Saint Kitts and Nevis, Saint Lucia, Saint Vincent and the Grenadines) and three British Over-seas Territories (Anguilla, British Virgin Islands and Montserrat).

As a consequence of the effective engagement during the early phases of disaster response and the needs for a sustained technical presence during the recovery phase, UNDP senior management decided to maintain institutional presence in Dominica by opening a Project Office.

UNDP’s Dominica Project Office (DPO) is advancing the rehabilitation and strengthening capacity in Dominica through such initiatives as the Supporting Sustainable Ecosystems, Low Carbon Development Path, Strengthening Disaster Management Capacity of Women in the Cooperative Republic of Guyana and Commonwealth of Dominica Projects. Other expected areas within the DPO portfolio will include at least one pilot initiative to advance the Blue Economy. In addition, the DPO provides support to other UNDP Agencies in the areas of sustainable development, energy, governance, disaster risk management as well as livelihoods and gender.

Recognizing the transition of the Dominica Project Office from the capacities that were required in the early recovery period, UNDP is offering an internship that will provide support to the overall portfolio of activities in the DPO.

Under the guidance and supervision of the Operations and Administrative Manager, the Intern will work as part of a team to support the various projects. The Intern provides support to office operations performing a variety of administrative and communication processes, ensuring high quality and accuracy of work. The Intern promotes a client, quality and results-oriented approach.

Duties and Responsibilities

The internship placement is for a duration of 6 months, with the following main objectives:

  • Contribute to the work of UNDP Dominica Project teams in a supportive role by disseminating UNDP information, providing necessary assistance and capacity development.
  • Enhance skills sets, gain work experience, training, and development.

Duties and Responsibilities

  • Support procurement processes including undertaking research for items, preparing specification, obtaining quotations and other documents for preliminary evaluation
  • Assist with preparing customs clearance documents and follow-up-actions with relevant ministry and organisations
  • Receive and distribute documents to Ministries and other organisations
  • Provide support for workshops, site visits, conferences and other events and attending as required
  • Assist with collection of data for surveys and similar related purposes
  • Assist with procurement and monitoring of office stationery, IT supplies and maintaining up to date inventory and log of supplies and office and project equipment
  • Assist, where required, with the increase visibility of the DPO Projects
  • Assist in developing and maintaining a communication library and archive of DPO projects.
  • Perform any other Administrative and Communication duties as necessary
  • Support in arrangement of Archives, E-fillings and uploading of documents
  • Assist in maintenance of proper filing, disposal of identified documents i.e. projects, operations Finance, Procurement, and HR
  • Support procuring of goods & services, clearing and labelling of office files
  • Provide technical assistance and support to ICT when appropriate

Required Skills and Experience

Education:

  1. Be enrolled in a graduate school programme (second university degree or equivalent, or higher) in areas of Accounting, Finance, ICT, Logistics, Economics, Political Science, Management or related field;
  2. Be enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent);
  3. Have graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation.

Experience:

  • Work experience is not a requirement for the internship
  • Knowledge of the local culture and environment is a key requirement
  • Familiarity with island infrastructure and geography
  • Basic understanding of structure and functions of Government
  • Basic knowledge of indigenous community culture

Language:

  • Fluent in English (reading and writing)

General Internships Terms & Conditions:

  • The Internship programme is governed by the UNDP Internship policy framework & rules.
  • Under the new revised UNDP internship policy, UNDP will provide a modest monthly internship stipend to its interns.
  • UNDP interns accrue leave at a rate of 1.5 days per month;
  • Selected Interns must be able to share proof of education enrolment and/ or graduation, medical/ health and life/accident insurance, valid for the location in which the internship will be carried out and be able to provide insurance documentary proof at the time of their selection;
  • There is no expectation of employment at the end of these internships.
  • UNDP is not responsible for any claims by an intern or third party in the case of loss or damage to property or death or personal injury as a result of actions or omissions on the part of the intern during the internship period.

    Working conditions:

  • During the internship session, interns will be provided with an office working space and computer access.
