You have:

  • Advanced university degree (Masters or equivalent) in project management, administration, environmental management or conservation, knowledge management or a related area is required.
  • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
  • A minimum of two years of experience in project management, maintaining and organizing project documentation, ensuring accuracy and completeness is required.
  • Experience managing complex project calendars and schedules, ensuring all key dates and deadlines are met is required.
  • Experience in using document management systems and maintaining version control to keep documentation up to date is desirable.
  • Fluency in English is required.
  • Knowledge of another UN language is desirable.

Result of Service

The Individual Contractor will support the KM project team in delivering the following services under the direct supervision of the Head of Unit, Information Systems: - Accurate and up-to-date tracking of project modules. - Proper identification and resolution of project issues. - Clear and consistent communication with all stakeholders. Improved stakeholder engagement. - Well-organized and productive project meetings, clear documentation of meeting discussions and decisions and timely follow-up on action items. - A comprehensive project calendar with all important dates and deadlines. - A detailed technical specifications derived from user requirements. - Efficient communication and improved understanding and implementation of user needs by the development team. - Complete and organized project documentation. - Effective change management and version control of specifications.

Duties and Responsibilities

Background: The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Multilateral Fund for the Implementation of the Montreal Protocol (MLF) supports projects to reverse the deterioration of the Earth's stratospheric ozone layer and reducing consumption of high global warming hydrofluorocarbons (HFCs). It was established in 1991 as the financial mechanism of the Montreal Protocol to assist developing countries (Article 5 countries in the language of the Protocol) in complying with their obligations under the Montreal Protocol. The Multilateral Fund is managed by an Executive Committee with an equal representation of seven industrialized and seven Article 5 countries that are elected annually by the Meeting of the Parties. The Committee reports every year to the Meeting of the Parties on its operations, and it is assisted by the Fund Secretariat, located in Montreal, Canada and administered by UNEP (www.multilateralfund.org). Responsibilities: Under the supervision of the Head of Unit, Information Systems, the IC will assist with the daily activities pertaining to the new MLF Knowledge Management (KM) system as follows: - Assist the project management team in tracking the progress of various modules being developed. Update the project management team on the status of each module. Help identify and report any deviations from the project plan. - Act as point of contact between the project management team and stakeholders. Ensure effective communication and understanding of project objectives and progress. Receive project feedback and relay it to the appropriate teams. - In coordination with the project management team, schedule and organize project meetings with stakeholders, developers, and other relevant parties. Prepare and distribute meeting agendas and minutes. Ensure follow-up on action items from meetings. - Assist in maintaining and updating the project calendar. Assist in tracking important deadlines, milestones, and deliverables. - Assist in reviewing user requirements. Work with technical teams to transform user requirements into technical specifications. Ensure that requirements are documented and tracked accurately. - Assist in maintaining comprehensive records of all project documentation. Track changes in specifications and ensure they are communicated to all relevant parties. Ensure version control and proper documentation practices. -Assist with any other tasks, as required.

NOTE: ''Fluency'' equals a rating of ''fluent'' in all four areas (read, write, speak, understand) and ''Knowledge of'' equals a rating of ''confident'' in two of the four areas.
