Reports to: Field Office Coordinator

Category and Level: Grade 4, Step 1

Supervision of: Nil

Duty station: Maungdaw, Rakhine Area

Responsibilities

  1. Role and responsibilities

The following is a brief description of the role.

Generic responsibilities

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  1. Implement NRC’s ICT policies & guidelines at area and field office level
  2. Ensure data and network system security
  3. Ensure that network access privileges, applications, data storage and regular backups are configured and maintained
  4. Implement and update a data disaster recovery plan (back up)
  5. Schedule computer related services, maintenance and license renewals
  6. Ensure installation and maintenance of protection services (anti-viruses and firewalls)
  7. Plan network upgrades, expansions and replacements
  8. Provide ICT support and trainings to staff
  9. Ensure assets / inventories are registered and regular update in monthly report
  10. Participate in the procurement processes of ICT equipment with technical support

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

ICT equipment control & maintenance

  • To ensure all ICT equipment and related devices are work properly
  • Overall responsible for the office’s asset and inventory management, in line with NRC policies and local SOPs, responsible for recording all assets in the Unit4 asset (including data and supporting documents for each asset).
  • In charge of monthly reporting of the asset register and prepare reporting and follow-up of all assets-related incidents (loss, damages, misuse).
  • verify the handover and transfer of assets are properly registered in the system, with all necessary supporting documents.
  • Work with logistics focal to follow up asset or inventory items registration process
  • To perform assets and inventories count check in every six months.
  • To submit monthly asset report every first week of the month to Country Office
  • Proper monitoring and maintenance procedures for ICT equipment including Internet Service Provider (ISP) agreement for office.
  • Construct regular data backup system and provide technical knowledge for NRC staff if needed
  • Regular follow up for NRC’s standard antivirus data updating and license renewal
  • Ensure data storage system is protect well and always updated in second storage device

Other ICT related supports

  • To create NRC email for new staff members as per HR department requested.
  • To provide ICT orientation for new staff members to aware of NRC’s ICT rules and regulations.
  • Identify and advice on IT and equipment needs, including obtaining quotations and recommendation for procurement
  • Coordinate with ICT officer from AO/CO for technical related issue and monthly asset report
  • Perform any other operational need that might be requested by line manager

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

  • Finance Department, Support Service Departments in CO/Field/Area Office
  • External Suppliers
  • Respective Program Departments
