Duties and Responsibilities 1. Under the supervision of the Chief, OASU, the following tasks will be carried out:

Provide design and communications support with promotional strategies, reporting and awareness raising activities. Design and generate PowerPoint presentations, as well as a variety of periodic and ad hoc reports, statistical tables, charts, graphs, and other background material/notes as requested, inter alia, to facilitate audit requests and other reviews. Contribute towards the design and development of awareness raising activities, tailoring relevant training materials, and exploring innovative ways to strengthen the knowledge base of UNOV/UNODC. Assistance with the roll-out of OASU initiatives on encouraging organizational culture change, covering the organization, design and execution of communications and other associated activities with the project(s). Compilation of staff surveys on prohibited conduct in the workplace and staff satisfaction with insurance services, including subsequent analyses of data and production of reports. Finalize the development and design of a Code of Conduct website as a consolidated Vienna platform. Creation of templates and finalization of the design of the monthly HRMS newsletter on SharePoint. Maintenance of the HRMS Iseek homepage.

2. Provide support to OASU/LPT in pursuing the Unit’s work.

Assist in the administration of the overall workload of the team, i.e. provides administrative support in managing priorities and work-flow of the team, status updates and other relevant information. Keeps cases and requests for legal/policy advice and input organized by establishing and organizing files; takes independent and substantive action to process material received to relevant individuals in the team; monitoring calendars and deadlines; documenting actions; inputting information into file database and case management software; confirming case status and progress with the team. Undertakes research on a range of HR related issues and assists in the preparation of notes/reports and participates in substantive and policy/legal discussions of the team and Unit as a whole.

Qualifications/special skills High school diploma required Minimum of 5 years of experience in an administrative setting is required. Fundamental planning and organizational administrative skills are required. Experience in (digital) communications and in reporting, development and editing communication products is desired. Experience working for international organizations is desired.

Languages English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
