UNICEF's supply and logistics headquarters - Supply Division - is located in Copenhagen, which is also home to the largest humanitarian warehouse in the world. Over 1000 colleagues work in the Supply Function across 97 countries and 173 offices and form the Supply Community. About a half of the 1000 colleagues are housed in Supply Division, Copenhagen with areas of expertise including logistics, procurement, warehouse management, product innovation, market insights, finance, pharma, nutrition, vaccines, cold chain and health technologies and engineering.

The HR Centre at Supply Division is a strong Business Partner in this endeavor and works towards managing a robust HR Framework that aligns with the People Strategy.

The selected candidate will join a team of HR professionals providing HR Services to Supply Division colleagues in the areas of Business Partnering and Benefits & Entitlements. The selected candidate shall also support Wellbeing Initiatives, HR Projects and provide back-up tasks to international colleagues on Host Agreement entitlements.

How Can You Make a Difference?

Under the close supervision and guidance of the Senior HR Associate, the Human Resources Assistant provides Local Focal Point services, procedural and operational support and assistance to the efficient implementation of a broad range of Human Resources functions for all categories of staff in his/her office, ensuring accurate and timely delivery that is in compliance with UNICEF HR rules, regulations and standards.

Key functions and accountabilities:

1. Business Partnering

  • Support the business partners in developing initiatives to encourage employee well-being and employee recognition schemes.
  • Support the management of change processes by advising clientele on changes to HR processes.
  • Support the business partners in processing and oversight of staff contract renewal process.
  • Liaison with Global Shared Services Centre in Budapest on facilitation and coordination of personnel actions
  • Support the business partners in ensuring compliance with Attendance Management and Flexible Work Arrangements, including guidance on absences and sick leave.

2. Support in processing of Staff Entitlement and Benefits

  • Initiates the facilitation and processing of a wide range of personnel actions in accordance with UNICEF rules and regulations.
  • Guides clients on self-service mechanisms to support the provision of their HR entitlements.
  • Provides guidance and process for Separations.
  • Back-up function for MoFA related matters e.g., applying for residence cards, liaising with Embassies for visas and guiding on entitlements relating to the Host Agreement.

3. Support in Wellbeing Initiatives

  • Contributes to the HR Workplan activities related to Wellbeing.
  • Supports the planning and organizing of Wellbeing activities and Wellbeing Calendar.
  • Guides staff on available Wellbeing resources.
  • Support and contribute to regular Wellbeing Champion meetings.

4. General HR support

  • Drafting and processing a variety of correspondence and communication.
  • Preparing draft presentations for HR sharing sessions.
  • Maintain and generate automated databases containing HR related statistics and generating periodic reports; and performing a variety of administrative duties (e.g., leave recording, etc.).
  • Contributes to HR Services’ Projects that support improvements towards Effective and Efficient work processes.

Candidates should have the ability to organize their daily, setting priorities that allow for ad-hoc tasks in order to meet deadlines and deliver results. The incumbent should take responsibility to respond to internal and external service needs promptly and proactively; apply judgement to ensure compliance with organizational rules and regulations and discretion to address unforeseen situations. It is essential to demonstrate a high degree of confidentiality, initiative and good judgment as well as courtesy, tact, patience and ability to work effectively with people of different national and cultural backgrounds.

Required:

  • Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residence permit as such an extension cannot be dependent on employment with UNICEF
  • Completion of secondary education
  • A minimum of 5 years of relevant experience
  • Fluency in English
  • Computer literacy and the ability to effectively use standard office software tools
  • Good knowledge and skill in using HR systems

Desirable:

  • Technical or university courses related to Human Resources
  • Good knowledge of HR principles, rules, regulations and procedures within the UN System
  • Proficiency in Danish
  • Proficiency in another UN language (Arabic, Chinese, French, Russian, Spanish)
