How can you make a difference?

Under the close supervision and guidance of the Human Resources Manager, the Human Resources Assistant provides administrative, procedural and operational support and assistance to the efficient implementation of a broad range of Human Resources functions for all categories of staff in his/her office, ensuring accurate and timely delivery that is in compliance with UNICEF HR rules and regulations.

  1. Support in time and attendance management
  • Process time and attendance transactions and provide attendance related client support for Kenya Country Office and Eastern and Southern Africa Regional Office.
  • Reviews the monthly leave submissions and reconcile and update VISION entries.
  1. Support on HR Analytics
  • Generate workforce planning reports (contract expiration, staff due for rotation and retirement); PER completion and mandatory courses available in Power BI reports monthly.
  • Generate regular reports required for the following CMT; MMM; Medevac; OPSCEN and others.
  • Support on basic review and analysis of HR reports in support of decision making processes.
  1. Support in Master Data Management (MDM) processes
  • Act as the HR Local Focal Point for Master Data Management.
  • Support staff and non-staff to complete the MDM documentation for submission to GSSC.
  • Provide support required to create and update vendor records.
  1. Support in learning and development capacity development
  • Works closely with the HR Officer (Learning) to provide support in monthly tracking of mandatory learning activities.
  • Follow up with staff to ensure completion of mandatory learning activities.
  1. General HR office support
  • Document management a range of HR letters for grounds pass, host country services, banking, etc. UNLP issuance, cancelation, renewal.

To qualify as an advocate for every child you will have…

  • Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.
  • A minimum of 5 years of progressively responsible Human Resources experience required, including minimum 2 years’ experience working with time and attendance for large organization.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English is required. Knowledge of another official UN language or Kiswahili is considered as an asset.
  • Good knowledge of HR principles, rules, regulations and procedures within the UN.
  • Computer literacy and the ability to effectively use standard office software tools as well as good knowledge and skill in using HR systems. Ability to extract and format data and to solve operational problems.
  • Ability to organize own work, set priorities and meet deadlines.
