UNICEF's Global Shared Services Centre (GSSC) in Budapest, Hungary provides services to UNICEF offices globally in the areas of Finance, Human Resources, Payroll and Information Technology.

How can you make a difference?

The Human Resources Assistant will perform a variety of clerical duties related to the administration of the office and will provide support within the GSSC by maintaining and monitoring reports and ensuring that timely action is taken on status of entitlements and allowances in accordance with UN Staff Rules and Regulations and UNICEF's policies and procedures. The incumbent will also support the creation of the HR records center.

Responsibilities:

Prepare, review and maintain filing system for routine Human Resources documents

  • Review the designation of beneficiary forms for completeness and accuracy
  • Consolidate and file forms in the pre-determined filing instructions and assemble and organize the HR filing room
  • Scan and upload electronic copies on staff member's e-OSF (electronic Official Status File)
  • Review, consolidate and file the UNJSPF payment instruction forms received globally from staff members upon separation.
  • Request and track PF4 forms to Payroll Section in the GSSC
  • Track and send the payment instruction forms and the PF4 forms to UNJSPF on a weekly basis through pouch
  • Create employment verification letters

    Liaise with divisions and offices for accuracy and completeness of information

  • Check the received designation of beneficiary forms against staffing table to advise divisions and offices; inform divisions and offices on any missing information or documents;

  • Provide periodic feedback to the supervisor on the completion of tasks

    Maintain UNICEF staff personnel records in SAP

  • Update SAP with status changes (e.g. contractual status, marriage status)

  • Perform necessary administrative actions on contractual status and entitlements, ensuring timely and accurate action
  • Draft correspondence to follow up on staff status changes and request recommendations as needed

    Draft guidelines on the HR filing procedures of original documents

  • Create and keep up to date guidelines on the HR filing procedure of original documents to be maintained the GSSC HR Administration Unit

  • Present to sub-units of the GSSC HR Administration Unit on the filing procedures

    Provide overall administrative support to the Human Resources Unit

    To qualify as an advocate for every child you will have…

  • Completion of secondary education (high school diploma) is a minimum requirement

  • 4 years of work experience in human resources or administration is required. A completed university degree from an accredited institution will be counted towards the minimum work experience requirement
  • University level courses in human resources and business administration would be an asset
  • Intermediate knowledge in the Microsoft Suite of Products (including MS Word, MS Excel & MS PowerPoint) is required
  • Previous hands-on experience in planning, organizing and delivering administrative support services is highly desirable
  • Fluency in English (verbal and written) is required
  • Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is considered an asset
