Overview

Provide Human Resources support in line with DRC and national policies and procedures.

You have:

  • Minimum 1 year of experience in human resource management, administration, recruitment or a related field.
  • University degree in 'HR Management and Labor Economics', 'Law', 'Social Science' or related specialization.
  • Knowledge of labor law.
  • Practical experience in HR Administration such as preparing and processing hiring, contract extensions, transfers, and terminations, maintaining employee records and personal files.
  • Fluency in written and spoken Ukrainian.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Intermediate English level (speaking/reading/writing).
  • Strong attention to detail and ability to manage multiple priorities.

Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.

DRC has been operating in Ukraine since 2014, currently DRC employs over 800 staff in Ukraine and implements emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

DRC is currently looking for a Human Resources Assistant to join our team in Sumy.

About the job

You will provide Human Resources support in line with DRC and national policies and procedures. Under the supervision of the HR & Administration Team Leader, and with technical guidance from the Country HR Manager, you will ensure that HR-related tasks in the Area Office are carried out effectively. Your responsibilities will include supporting recruitment and onboarding processes, maintaining HR records, assisting with Code of Conduct–related matters, and providing guidance to staff on HR-related topics.

Your main duties and responsibilities will be:

  • Assist management and employees in Human Resources related issues and concerns.
  • Assist the recruitment of staff for the area including advertising, prepare long list, organizing interviews, reference checks and relevant documentation.
  • Assist with compliance of personnel documentation with legislation in the field of labour law and personal data protection. Interact with DRC Country office, to ensure timely and accurate documentation turnover.
  • Assist with hiring, transfer and dismissal of employees in accordance with labour legislation, regulations, instructions, as well as orders of the Head of the Representative Office.
  • Assist with form and administer of employee’s personal files.
  • Assist to ensure compliance with leave policies of DRC employees in the Area of responsibility, prepare Internal Orders and send them for archive to DRC Country Office.
  • Prepare timesheets for all employees in the Area of responsibility twice per month and provide payroll-related HR inputs.
  • Perform role of HR User in data management systems, including hire, termination and extension of employees’ contracts, checking leave requests and approvals, benefits and compensation.
  • Ensure that the performance appraisal process is conducted, and that learning and development opportunities are available to the employee.
  • Provide information on HR related changes in the Area of responsibility to DRC Country Office in a timely manner.
  • Assist or drive people well-being initiatives.

About you

To be successful in this role we expect you to have a minimum of 1 year of experience in human resource management, administration, recruitment or a related field. Moreover, we also expect the following:

Required

  • University degree in “HR Management and Labor Economics", "Law", “Social Science” or related specialization.
  • Knowledge of labor law.
  • Practical experience in HR Administration (preparing and processing hiring, contract extensions, transfers, and terminations, maintaining employee records and personal files, etc)
  • Fluency in written and spoken Ukrainian.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and ability to manage multiple priorities.

Desirable

  • Intermediate English level (speaking/reading/writing).
  • Experience working with HR systems and data management.
