Role and responsibilities

Staff Care Technical Assistant is expected to assist in the day-to-day implementation of the staff care responsibilities to ensure staff well-being, manage work related stress and maintain a healthy working environment. Ukraine Staff Care Team supports all offices of NRC Ukraine mission.

Generic responsibilities (max 10)

  1. Adhere to NRC policies, tools, handbooks, and guidelines.
  2. Assist with the implementation of the support function portfolio according to plan of action.
  3. Ensure proper filing of documents related to Staff Care.
  4. Provide support in organizing and delivery of tasks in line with priorities and standards.
  5. Prepare and develop status reports on staff care as required by the Staff Care Coordinator
  6. Share ideas on any improvement of staff care approach in contributing to a healthy and inclusive working environment.

Specific responsibilities

  1. The primary responsibility of the Staff Care technical assistant will be supporting the Staff Care Coordinator in ensuring smooth and timely insurance processes for national staff, including preparation of the relevant documentation. Within this responsibility the incumbent is expected to do the following:
    1. Ensure regular communication with the insurance broker in all issues related to medical insurance.
    2. Keep the list of national staff under insurance regularly updated (new staff added once a week and resigned staff excluded upon need).
    3. Prepare all the necessary documents for timely and accurate payments for insurance services for national staff provided to NRC.
    4. Support Staff Care Coordinator in collecting statistical data, staff feedback and claims related to health insurance program.
    5. Support Staff Care Coordinator in organizing regular on-line sessions for national staff related to updates in insurance programs.
  2. Ensure proper filing of the documents related to Staff Care duties and ensure their confidentiality.
  3. Send out updates and announcements related to staff care to all NRC Ukraine staff (like welcome letters, greetings, invitations to events etc.)
  4. Support the Staff Care Coordinator in conducting staff surveys and questionnaires (draft surveys in Office 365 Forms application, aggregate the feedback information for analysis)
  5. Support the Staff Care Coordinator in organizing on-line and offline sessions in-house and with external providers on staff care topics
  6. Any other duties needed to ensure staff care activities for NRC Ukraine mission.

Professional competencies for this position:

  1. Complete higher education (Bachelor or Maters Degree).
  2. At least one year of experience area in a big, structured company (international or humanitarian context).
  3. Knowledge and experience within a relevant administration and technical field.
  4. Documented results related to the position’s responsibilities.
  5. Fluent Ukrainian (native).
  6. Intermediate level of spoken and written English.
