Position: HR & Admin Technical Assistant

Reports to: Area Support Coordinator

Supervision of: Service staff

Duty station: Tripoli

Travel: N/A

Duration and type of contract: 12 months

  1. Role and responsibilities

The following is a brief description of the role. The purpose of the HR/ Admin Technical Assistant position is to provide general administration and HR support to ensure the smooth functioning of the NRC Libya office, accommodations and HR team in accordance with NRC’s HR, Admin, Finance and Logistics policies and procedures and relevant donor guidelines. The HR/Admin Technical Assistant is the first person whom NRC employees will approach for getting their administration and HR issues resolved. S/he will liaise closely with logistics, Finance and all departments.

Generic responsibilities (max 10)

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  1. Adhere to NRC policies, tools, handbooks and guidelines
  2. Assist with the implementation of the support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents
  5. Promote and share ideas for improvement of the support function
  6. Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards & principles within NRC and amongst beneficiaries served by NRC

Specific responsibilities

  • General office administration management and implementing office policies SOP.
  • Maintaining the office equipment and stationary, scheduling repairs through logistics department whenever necessary.
  • Support line manager with recruitments and contracting.
  • General follow up of the NRC office and houses/apartments and ensure that utility bills are paid.
  • Arrange internal meetings and events, including the venue.
  • Assist in the completion and filing (physical and electronic) of accurate and up-to-date HR and Admin files
  • Any other general administrative as directed by line management.
  • Assist in the tracking and filing of staff trainings, performance management
  • Carry out all HR functions such filing of personnel files, assists in preparation of staff payroll, timely
  • review of attendance sheets and time sheets, keeps leave records updated and communicates to main office on request
  • Attend all meetings assigned by line manager and prepare reports

  • Budget holders
  • All NRC staff and department including senior management
  • Liaison with other Support team members (Logs/ Finance) to ensure the HR team are well
