Are you interested in gaining experience in the HR field? We are seeking a student assistant who is enthusiastic about providing excellent service and assistance to both our HR colleagues and colleagues in other departments. If you possess strong attention to detail, are proficient in following established procedures, and enjoy working with various systems, then you would be an excellent fit for this position.

Who are we?

Our HR Department in Copenhagen comprises 30 committed and skilled colleagues from diverse backgrounds and nationalities. We provide HR support for a global non-governmental organisation that assists refugees and displaced persons worldwide. Our HR team is organised into four distinct groups: HR Operations & Analytics, HR International Partnering, People Development & Engagement and HR Headquarters & Denmark. As a member of the HR Operations & Analytics team, you will work alongside six other colleagues.

About the job

You will have the opportunity to join a well-coordinated team that values mutual respect, professionalism, and excellent service delivery. Our team is responsible for a variety of tasks related to employment contracts, extensions, system administration, and HR analytics. As a member of the HR Operations & Analytics team, you will closely collaborate with HR Operations Specialists and Officers in countries worldwide to primarily support the administration of contracts and extensions for expatriate employees in our country operations.

Your specific duties will include:

  • Active participation in the process of issuing contracts and extensions for expatriate employees, in accordance with DRC's internal policies.
  • Active participation in updating systems such as ERP and salary systems, which may involve tasks like adding templates, importing data, improving reporting, and reconciling data.
  • Ensuring data quality of master data and taking pride in updating it in a timely manner.
  • Providing basic reporting support.
  • Acting as a super user in the ERP system, and being a go-to person for both regional, country and HQ HR.
  • Supporting internal communication by updating email templates and standard communication tools.

About you

To be successful in this role we expect you to have a strong interest in utilizing technology to enhance the efficiency of salary and contract procedures within our organisation. You are someone who is comfortable with adapting to new technologies and can leverage various system solutions. Additionally, you take pride in processing a high volume of contracts and recognize the value that the quality of your work brings to the HR function. You understand the importance of providing exceptional service and take pride in your ability to offer assistance and support to others.

Moreover, we also expect that you:

Required

  • Are currently enrolled in an academic institution studying HR, business administration, or a related field.
  • Possess a basic understanding of HR administrative processes and systems.
  • Have a good understanding of the Office package, particularly Excel.
  • Take pride in efficiently handling high volumes of work. We issue numerous contracts and extensions every month!
  • Have excellent English communication skills, both written and oral

Desirable

  • Possess strong technical skills and can explore how technology can improve process efficiency.
  • Have experience providing customer support, preferably in an international company or organisation.
  • Knowledge of Danish and French would be advantageous

We offer

Contract length: The position is permanent, subject to your continued enrollment in a university. We expect you to work 15 - 20 hours a week

Workplace: Borgergade 10, Central Copenhagen

Start date: 1st April 2023

Salary and conditions will be in accordance with the agreement between DRC and HK. This is a national position for which local terms and conditions apply. Please note that you need to have the right to work in Denmark (through nationality or existing work visa) and you have to be enrolled in a relevant education institution in order to be considered for this role.
