Job Title: HR Assistant Reports to: HR Manager, Ukraine Duty Station: Dnipro, Ukraine with possibilities of business trips

As of February 24th, the IRC has pivoted to an emergency response in Ukraine and now we are working in multiple locations in Ukraine providing assistance to our clients in the fields of economic recovery and development, protection and health.

This position will be based in Dnipro, Ukraine with possible travel to other locations in Ukraine. The aim of this position is to support HR Officer and other country program HR staff with document workflow and implementing global HR processes in Dnipro office.

Job Responsibilities

Day-to-day HR Administration

Assist with day to day operations of the HR functions and duties in Dnipro office; Provide clerical and administrative support to Human Resources Coordinator and Manager; Compile and update employee records (hard and soft copies); Maintaining employees records in WorkDay system (HRIS); Updating HR trackers (leave tracker, personal information, etc); Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc); Support HR Officer to deal with employee requests regarding human resources issues, rules, and regulations; Conduct initial orientation to newly-hired employees, support with organizing inductions; Process document workflow required by Ukrainian legislation (employment contracts, service agreements, orders, letters, etc); Support Senior HR staff with scanning and maintaining HR archives; Support HR Officer with organizing team building activities and learning events in close cooperation with administrative team.

Recruitment In close cooperation with HR Officer and Talent Acquisition Officer provide support with recruitment of staff for Dnipro office; Assisting Talent Acquisition Officer with updating recruitment databases. Post new vacancies in Cornerstone recruitment system and on the job boards; Compensation and benefits Assist HR Manager with providing information for staff payroll (providing relevant data (absences, bonus, leaves, etc) and information regarding remuneration on service agreements.

Skills and Qualifications 1+ years’ experience in recruitment or human resources/ administration. Good communication and organizational skills. Advanced knowledge of MS Office; Knowledge of labour legislation; Familiarity with job boards, and HR software, databases, and management systems. Proven experience conducting various types of interviews (i.e., phone, Skype, etc.). English level – upper-intermediate or higher, fluency in Ukrainian (Russian will be an advantage).

Preferred Qualifications Bachelor’s degree in human resource management or social sciences (or related field). Experience in working with HRIS and databases; Familiarity with job boards; Experience in conducting interviews; Experience in organizing events will be an asset; Desire to grow professionally with networking and ongoing training opportunities.
