Job Overview: The Grants and Contracts Specialist plays a crucial role in the life cycle of IRC’s programs by ensuring proper due diligence for all grants and partner contracts across the IRC in Northern California’s four offices and Immigration programming in Oakland, San Jose, Sacramento, and Turlock. This Specialist’s role will support the contractual aspects of pre-award and post-award phases of grants by performing administrative functions and due diligence for proposals, partnership agreements, grants, subawards, subcontracts, including award amendments. The Grants and Contracts Specialist will be an integral part of the Northern California four-person grants team and will perform in collaboration with Northern California’s leadership, finance, and program staff, as well as headquarters’ revenue and grants and business development staff.

Major Responsibilities:

Pre-award phase:

· Support the grants team to ensure all supporting documents are up to date, signatures secured, and all elements of proposals to public donors are collated and formatted according to Request for Proposals requirements

· Support the grants team and program staff to perform due diligence and secure partnership agreements in accordance with IRC’s PEERS process

· Supports proposal writing for variety of opportunities as assigned

Post-award phase:

§ Support the grants team to finalize all grant agreements, including liaison with subawardees and subcontractors to complete due diligence and contract agreements

§ Maintain and ensure proper grants management procedures are in place and consistently followed, including but not limited to due diligence procedures, award letters, grant agreements, partner contracts, and procedures to ensure availability of funds

§ Liaise with the headquarters’ revenue, grants and business development staff on all new contracts, grants, amendments, and sub-grants; and ensure all multi-year grants are tracked appropriately

§ Support program leads to liaise with finance on subgrant distribution and to ensure invoicing and reporting requirements are met

§ Maintenance of accurate and detailed electronic contract and grant files for each funded program with consistent documentation standards.

§ Be a local subject expert for Asana and OTIS

Secondary Responsibilities:

· Support the coordination of grant opening and closing meetings with program leads.

· Maintain and keep up to date supplemental attachments for proposals and grants

Key Working Relationships:

§ Position Reports to: Grants Manager - Northern California

§ Indirect Reporting: Grants Coordinators, Director of Development, Director of Finance

§ Other Internal and/or External Contacts:

o Internal: NorCal Program Managers, HQ Resource Acquisition and Management department, Site Leads, Executive Director

o External: nonprofit partners and public funders

Job Requirements:

§ Undergraduate Degree/certificate in nonprofit management, business administration, finance, or a related field.

§ Minimum of 3 years in contract management, or nonprofit/business administration experience preferred.

§ Familiarity with federal and local government contracts is a plus.

§ Exceptionally organized with excellent research and Excel skills.

§ Ability to work autonomously while working collaboratively with different teams to meet deadlines.

§ Proficiency in Microsoft Office applications, cloud-based applications, project management apps.

§ Excellence in written and spoken English.

Working Environment:

§ This is a regionally based role; with the option of stationing in any of the Northern California offices in Oakland, Sacramento, San Jose, and Turlock
