Org. Setting and Reporting The European and North Atlantic (EUR/NAT) Regional Office in Paris, France, is primarily responsible for maintaining continuous liaison with the States to which it is accredited (56 Contracting States) and with appropriate international organizations, regional civil aviation bodies, and UN Agencies and programmes. The Regional Office ensures interregional coordination and promotes the timely and harmonized implementation of ICAO Strategic Objectives, policies, and decisions. The Regional Office also provides technical guidance and assists States with the implementation of ICAO Standards and Recommended Practices (SARPs), aviation safety and air navigation plans.

The General Services Clerk from the EUR/NAT Administration Unit reports to the General Services Supervisor, who will provide advice and guidance on work procedures and establish priorities and schedules.

Responsibilities Function 1 (incl. Expected results) Provides messenger duties,, achieving results such as:

  • Provides general office support services to help ensure the smooth functioning of an organizational unit.
  • Deliver and collect mail and any other correspondence for distribution within the Regional Office, ensuring that the documents are circulated correctly and at a timely interval.
  • Archive documents as requested and ensure the archive room is kept in order and tidy.

Function 2 (incl. Expected results) Provides assistance related to building maintenance services, achieving results such as:

  • Perform routine maintenance check of premises, ensuring building is clean inside as well as outside and report any issues to the Administration.
  • Check on a daily basis that all equipment and fixtures are in order and report any faults (this includes water, electrical and plumbing equipment, light bulbs, furniture, etc.).
  • Perform small repair works.
  • Assist the General Services Supervisor in performing maintenance tasks.

Function 3 (incl. Expected results) Ensures preparation of the conference and meeting rooms, achieving results such as:

  • Assist in preparing conference rooms before meetings, ensuring that the necessary nameplates, signboards are in place and beverages are available, etc.
  • Assist in configuring conference rooms and in setting up sound equipment and climate control.

Function 4 (incl. Expected results) Ensures inventory, building, equipment and general office services, achieving results such as:

  • Assist the General Services Supervisor in performing inventory, building and equipment maintenance tasks.
  • Keep appropriate records of stock and inventory of supplies for the Office; prepare the necessary orders to replenish stock and verify deliveries.
  • Keep stock of, handle and distribute supplies.
  • Relieve the General Services Assistant at the reception, when required.
  • Receive and stock supplies, as well as move furniture, when required.

Function 5 (incl. Expected results) Performs other related duties, as assigned.

Education High school diploma or equivalent is required.

Work Experience A minimum of two (2) years of experience in a service industry dealing with the public and performing general office work are required.

Languages Essential: Fluent reading, writing and speaking abilities in French and a working knowledge of English.

Desirable: A working knowledge of any other language of the Organization (Arabic, Chinese, Russian, Spanish).

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice It should be noted that this post is to be filled on a fixed-term basis for an initial period of three (3) years (first year is probationary for an external candidate).

The statutory retirement age for staff entering or re-entering service after 1 January 2014 is 65. For external applicants, only those who are expected to complete a term of appointment will normally be considered.

Remuneration: Level G-2 Net Base Salary per annum EUR 30,131
