SCOPE OF WORK: Front Desk Associates are the face of the IRC, they are often the first people who are seen and spoken to by vendors, clients, staff, and other volunteers. People in this role greet anyone who walks into our office, answer phone calls, and direct all clients to the appropriate staff member.

- Associates will gain skills in communication, understanding, and multi-tasking. - Associates will be able to learn about the various programs and services offered at the IRC in Los Angeles. - Associates will gain work experience in a professional setting.

TIME REQUIREMENTS: Monday-Thursday, 12:00 pm to 5:00 pm

RESPONSIBILITIES:

- Greet walk-ins, usually IRC clients, donors, or volunteers, and direct them to the appropriate personnel. Use the check-in sheet to record any guests who have visited the office. - Manage our phone system and direct phone calls to the appropriate personnel. If the personnel are unavailable, take down a message and forward it to them. - Routinely check voicemail and forward messages to appropriate personnel. - Utilize resources available, including the Front Desk Factsheet, resource manual, online training, and IRC staff to answer questions throughout your shift. - Ensure that incoming mail for Finance & Operations is handed off to the Finance & Operations Team. - Notify the Operations Coordinator and Volunteer and Donations Specialist of any CIK (In-kind) donation drop-offs. Notify the Operations Coordinator of any packages received by postal or shipping carriers (i.e. USPS, UPS, FedEx, DHL, etc.) - Ensure outgoing mail is received by USPS personnel. - Restock the downstairs restroom with toiletries. Restock the kitchen with K-cups, tea, and creamer.

Qualifications - IRC orientation and full background check (HireRight) required. - Cultural awareness of and sensitivity to this vulnerable immigrant population and a strong desire to help unaccompanied minors adjust to life in the U.S. - Demonstrate ability to communicate and work as a team member in a cross-cultural environment. - Strong organizational skills with high attention to detail. - Culturally competent and effective communication skills. - Engaged in learning about the broader IRC mission, philosophy, global work, and local efforts. - Willing to adhere to IRC intern and workplace policies.
