Job Description

Job Overview/Summary: In July 2016, the State of Kansas withdrew from the administration of federal Office for Refugee Resettlement (ORR) funded programming. The IRC was subsequently selected to serve as “replacement designee” for Kansas, administering benefits outlined in ORR regulations through a newly created Kansas Office for Refugees (KSOR), based in Wichita. The Finance Coordinator - KSOR is a full time, 37.5 hour per week administrative support position that assists the finance team in accurately controlling and managing the implementation of the accounting system in the office. The Finance Coordinator also is expected to offer support in providing internal stakeholders as well as donors, grantors, creditors, and other external stakeholders with timely, accurate and understandable financial information and reports. Finally, this position provides general office administration support.

Major Responsibilities:

· Assist Finance Manager in ensuring office compliance with IRC’s accounting policies vis-à-vis fund accounting as noted in IRC’s finance manual and generally accepted accounting principles

· Review accounting transactions to ensure proper coding and record transactions within IRC’s accounting software

· Prepare, review, and approve journal entries/invoice journals in Integra (Microsoft Dynamics 365), including staff expense management reports/reimbursements

· Void/reclass transactions/invoice journals as requested/needed

· Assist in preparing monthly financial reports as needed

· Assist Finance Manager in facilitating external and internal audits as needed; assist in preparing all documents/samples requested by external auditors

· Prepare monthly staff Time and Effort reports for staff signature

· Load, revise and maintain program budgets into Integra (Microsoft Dynamics 365)

· Assist Finance Manager in monthly bank reconciliation

· Prepare and submit all payment invoice journals in Integra

· Assist the Finance Manager in providing clear and transparent guidance to programs on their respective projects, grants and contracts

· Effectively communicate financial topics and facilitate discussions with non-finance staff

· Assist the Finance Manager in providing finance/accounting-specific training for all-staff as needed

· Support the Finance Manager in the protection of the organization’s assets by implementing IRC’s Internal Control procedures

· Track, record and report all expenditures for AmeriCorps grants

· Attend all finance related trainings for respective partner organizations

· Develop system and process for transferring paper files into electronic files for the finance department

· Process implementation of using ETO to record payments to health providers in Integra for checks and balances

· Assist Finance Manager on monthly balance sheet reconciliations

· Provide program support as requested

General

· Support office-wide administrative and critical initiatives.

Job Requirements:

· Two (2) years of post-secondary education and/or two (2) years of experience working in accounting, finance, bookkeeping, or administrative support preferably in a non-profit setting

· Strong commitment to ensuring the success of the IRC mission while adhering to the values of service, accountability, and integrity as defined in the IRC Way

· Solid computer-based accounting skills, including spreadsheets and other financial related software programs

· Proficient in general office software programs like MS Word, Excel, email, and internet

· Proven ability to work as a team member in a cross-cultural environment

· Excellent verbal and written communication skills

· Ability to prioritize and manage time effectively

· Fluency in English, written and spoken

Working Environment: Working Environment: Standard office work environment. Occasional travel up to 5%.
