Purpose for the job

The Finance Assistant is responsible for executing a broad variety of financial tasks for Operations and Private Fundraising Partnerships (PFP) sections, requiring thorough knowledge of UNICEF administrative and financial procedures, processes and policies.

This position also provides support to the Finance Section of the Operations Area, but its main focus is with PFP, reporting and monitoring over financial aspects of PFP (campaigns and fundraising), as well as performing tasks within the PFP activities such as support to elaborate the annual work-plan and budget, reconcile contribution receipts between CRM (Customer Relationship Management), donor tracking platforms, VISION and PFP bank accounts, and contribute interpret and apply PFP related policies and procedures to support the fundraising efforts at country level.

Key functions, accountabilities and related duties/tasks

1. Support the monitoring of the PFP annual workplan and budget in accordance to PFP guidelines.

a. Supports by monitoring the implementation according to annual workplan, ensuring that PFP guidelines are followed.

b. Gathers and consolidates information from different sources (VISION, Insight) to facilitate forecasting and reports the income and expense status of PFP, including investment funds.

c. Validates monthly reports on income, expenditure, deposit vouchers, and FDP by allocated fund.

2. Registration of monthly inflows of PFP revenues in coordination with the PFP section and report major deviations over the planned forecast.

a. Provides information related to NCO bank accounts for bank reconciliations to be submitted to GSSC and analyze bank open items for clearing.

b. Completes the required documentation for opening or closing bank accounts related to local fundraising and submits it to Operations for processing.

c. Analyzes GL open items and completes the required schedules for Year-end Closure of Accounts.

3. Contribution receipts between CRM System, VISION and PFP bank accounts are systematically and consistently reconciled.

a. Reconciles and validates the information provided by the Database Assistant matching income figures between CRM System, VISION and the PFP bank accounts.

b. Identifies and records the operating expenses for fundraising through credit card payment processors.

c. Records the contribution receipts under VISION according to allocations distributed by the Marketing Assistant.

d. Reconciles liabilities recorded under Petty Cash to be deducted from monthly revenues.

4. Backup for the Marketing Assistant on VISION and other administrative tasks.

5. Review and prepare schedules and reports related to monthly and year-end accounts closure of transactions with PFP funded activities.

6. Assist in the preparation of standard operating procedures related to PFP operations in the Country Office.

7. Prepare the VAT claimable files and the follow-up of the reimbursement requests. Assist in the monitoring of the contract for VAT recovery services. Assist in the submission of the request of VAT clearing open items with the appropriate supporting documents.

8. Assist in the preparation of correspondence informing IPs of HACT assurance activities. Collect the expense reports submitted by the IPs during the period of the HACT Plan. Support in the monitoring of HACT Assurance activities that are executed through LTA.

9. Collect the invoices and documents related to greening KPIs, for data extraction, analysis, and registry in EFAAT.

10. Support the Travel Administrator in the review of travel requests.

11. Assist in the submission of invoice requests verifying the funding sources, making necessary calculations, and assuring inclusion of all relevant data.

QUALIFICATIONS

To qualify as an advocate for every child you will have:

1. Education

Completion of secondary education, preferably supplemented by technical or university courses related to Finance, Administration or Accounting disciplines.

2. Work Experience

A minimum of 5 years of progressively responsible administrative or clerical work experience in the areas of finance/administration/accounting is required.

3. Language

Fluency in English and Spanish is required.
