Overview

You have:

  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Internet Explorer.
  • Excellent interpersonal skills and ability to work effectively in a multicultural team.
  • Self-motivated with the ability to adapt professionally in a challenging environment.
  • Ability to perform basic data analysis and office tasks such as photocopying, scanning, and printing.
  • Knowledge of basic data entry and extraction functions and accuracy checking of simple calculations.

Contract

This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

UNAMA is a political mission that provides political good offices in Afghanistan; works with and supports the government; supports the process of peace and reconciliation; monitors and promotes human rights and the protection of civilians in armed conflict; promotes good governance; and encourages regional cooperation.

UNAMA was established by the UN Security Council Resolution 1401 in March 2002 at the request of the Government of the Islamic Republic of Afghanistan. Its mandate is reviewed annually with the latest mandate renewal being on 15 September 2020 when the Security Council unanimously adopted Resolution 2543 (2020) Resolution 2543 (2020) calls for UNAMA and the Secretary-General’s Special Representative for Afghanistan, within their mandate and in a manner consistent with Afghan sovereignty, leadership and ownership, to continue to lead and coordinate international civilian efforts in full cooperation with the Government of Afghanistan. UNAMA maintains a permanent and extensive field presence across Afghanistan.

The Field Coordination Assistant will be responsible for, but not limited to, the following duties:

• Provides general office support services to help ensure the smooth functioning of the assigned office. • Provides secretarial, administrative, and logistics support to meetings, boards, committees, conferences, etc. • Provide support in field office coordination activities and liaise with the field office administrative team on administrative matters, projects, reports, logistics, and other events. • Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., following institutional standards. • Proof-reads written products for completeness and grammatical and typographical accuracy. • Maintains calendar/schedules; monitors the change and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Reviews, records, routes, and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. • Receives phone calls and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. • Maintains files (both paper and electronic) and databases for the work unit. • Updates and maintains distribution lists; assembles documents, reports, and other materials for dissemination using electronic formats. • Performs a variety of administrative duties (e.g., leave recording, attendance monitoring, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, etc.). • Assists with the collection and analysis of data as well as preparation of basic data presentations and reports for information sharing, responding to queries, planning, and decision making. • Photocopies/scans/prints a variety of documents and other materials. • Operates and maintains a variety of office equipment in the performance of basic office functions, e.g., photocopier, facsimile, printer, scanner, etc. • Travels to the field offices, when required. • Performs basic data entry and extraction functions. • Checks the accuracy of simple calculations, data, etc. • Delivers urgent mail/messages. • Performs other duties as assigned.

Microsoft suites – Word, Excel, PowerPoint, Outlook, Internet Explorer, etc. Able to draft basic correspondence and meeting minutes in English. Perform basic office tasks – copy, print, scan, etc. Perform basic data analysis. Basic IT/computer literacy experience is required.

Additional skills: Excellent interpersonal skills. Self-motivated. Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel. Sound security awareness.

The contract lasts for the period indicated above with possibility of extension subject to availability of funding, operational necessity and satisfactory performance. However, there is no expectation of renewal of the assignment. Travel to duty station (if applicable) and a Settling-In-Grant will be provided in the event the duty station is not within commuting distance from the place of recruitment. The applicable Volunteer Living Allowance is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included) and final repatriation (if applicable). Furthermore, in non-family duty stations that belong to hardship categories D or E, as classified by the ICSC, a Well-Being Differential (WBD) will be provided on a monthly basis.
