The Director’s Office is responsible for monitoring UNICEF supply operations overall and achievement of results. Under the supervision of the Executive Manager, the position is responsible for providing administrative and secretarial support to the Director’s Office on a range of duties and projects, with a primary focus on supporting the Deputy Directors.

How can you make a difference?

Under the general supervision of the Executive Manager, the Executive Assistant is responsible for administrative and secretarial support to the Director’s Office (DO) on a range of duties and projects, including Vision and back-up responsibilities.

Summary of key functions/accountabilities:

  • Takes responsibility for time management and scheduling for the Deputy Directors, with appropriate consultation as required. Effectively prioritizes and resolves conflicts and competing demands.
  • Manages signatory books of the Deputy Directors and ensures that documents are properly filed.
  • Supports the drafting of official correspondence, on behalf of the Deputy Directors
  • Maintains the Supply Division planning calendars and responds to and coordinates requests for meeting and event approval.
  • Plans and coordinates the engagements of the Deputy Directors, including duty travel, public appearances, and meetings with government officials, other partners and UNICEF staff. Liaises with relevant parties to arrange itineraries of field visits; prepares/collates briefing materials.
  • Provides support for external and internal events and meetings coordinated by the Director’s Office.

  • Support the updating of logs and effective archiving maintained by the Director’s Office

  • Ensures coordinated and positive relations with other Supply Division Administrative Assistants, Management Team and other staff.
  • Takes minutes, prepares routing correspondence and produces notes for the record and unofficial translations as required.
  • Performs other duties as required.

To qualify as a champion for every child you will have…

Required:

  • Secondary education.
  • Five years of work experience in a secretarial and administrative function, preferably in an international environment.
  • Fluency in English.
  • Valid work permit and residency in Denmark at the time of submitting the application (Note that the selected candidate is responsible for obtaining any required extension of their residence permit as such an extension cannot be dependent on an employment with UNICEF).

Desirables:

  • Formal advanced secretarial training.
  • Experience in event coordination and working with protocol strongly desired.
  • Proficiency in additional UN Language (Arabic, Chinese, French, Russian, Spanish).
  • Proficiency in Danish.
