Org. Setting and Reporting This position is located in the Economic Commission to Latin America and the Caribbean (ECLAC). The Editorial Assistant reports to the Chief of the CEPAL Review Unit.

Responsibilities Within delegated authority, the Editorial Assistants will be responsible for the following duties:

  • Assists in screening documents and sales publications submitted for editing in order to ensure compliance with submission standards and regulations;
  • Registers incoming and outgoing texts in the electronic document-tracking system (DCPMS); informs senior Assistants and/or Chief of Section of technical problems concerning submission and registration and assists in resolving them.
  • Assists Chief of Section and senior Assistants in assigning incoming jobs and tracking the workflow; keeps all concerned informed of changes in processing schedules and transmits corrections made by author departments/divisions to texts in process.
  • Ensures that outgoing texts are submitted correctly to the translation services and text-processing units or the reproduction section.
  • Acts as focal point for the release of texts to the United Nations Official Document System (DCPMS) and the Language Exchange Operation (LEO).
  • Provides reference assistance to language staff, contacting other UN offices and permanent missions as necessary.
  • Responds to queries from other departments or services concerning documents submitted for processing; refers queries to the appropriate parties as necessary.
  • Maintains the Section’s reference collection of CEPAL Review issues, publications and other reference materials, including special databases.
  • Compiles statistics on the output and workflow of the Section;
  • Ensures that all staff in the Section, including temporary staff, have basic computer equipment, software, and telephone and e-mail services; takes charge of all arrangements connected with this task.
  • Provides basic computer technical support to all staff in the Section; performs basic trouble-shooting functions in a timely manner; maintains contact with Information and Communications Technology Section (ICTS) and reports problems to the Help Desk when required.
  • Performs general office support functions for the Section, using UMOJA to requisition supplies and maintains attendance records.
  • Carries out other tasks requested by the Chief; covers other General Service staff functions when the staff members are absent on annual or sick leave.

    Education High school diploma or equivalent is required.

NOTE: For positions in the General Service category, candidates are required to clearly indicate in their PHPs relevant information confirming completion of High School.

Job - Specific Qualification Studies in Graphic Design or related area are desirable.

Work Experience At least five years of experience in office support functions and in screening and registering UN documentation submitted for processing, providing reference or technical support to language staff is required.

Experience in the use of Word, Power Point, Adobe Acrobat and Illustrator is required

Experience in editorial processes and workflows of academic journals is desirable.

Experience in InDesign is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written Spanish and English is required. Knowledge of another official United Nations language is an advantage. Knowledge of the second language (English/Spanish) will be tested, unless it can be supported by a certificate from a recognized institution.

NOTE: ‘’Fluency’’ equals a rating of ‘’fluent’’ in all four areas (speak, read, write, and understand) and ‘’knowledge of’’ equals a rating of ‘’confident’’ in two of the four areas.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice- Appointment for positions in the General Service category is done on a local basis.
