Org. Setting and Reporting This position is located in the Publication, Outreach and Support Unit of the Population Division of the Department of Economic and Social Affairs. The incumbent reports to the Population Affairs Officer of the Unit. More information is available at https://www.un.org/development/desa/pd/.

Responsibilities Within limits of delegated authority, the Editorial Assistant may be responsible for the following duties: - Manages, maintains and updates content on the divisional website, ensuring systematic organization of information themes and consistency of lay-out (using Drupal). - Screens documents and sales publications submitted for editing in order to ensure compliance with submission standards and regulations; develops, facilitates and monitors the use of publication templates; provides specific instructions on correct format and submission procedures. - Reviews, proofreads and edits manuscripts and other forms of publications, making stylistic, structural and grammatical corrections to ensure consistency and conformity with United Nations editorial guidelines. - Oversees the registration of incoming and outgoing texts in the electronic document- tracking system; informs supervisor of technical problems concerning submission and registration and resolves them as necessary; maintains working and final files in the electronic storage system on the divisional collaborative platform . - Assists supervisor in assigning incoming jobs and tracking the workflow; keeps all concerned informed of changes in processing schedules and transmits changes made by authors to texts in process. - Ensures that outgoing texts are submitted correctly to the translation services, text-processing units or reproduction section; prepares special processing instructions as necessary. - Provides reference assistance to language staff, contacting other UN offices and permanent missions as necessary. - Prepares electronic versions of texts to be edited in accordance with established formats. - Provides technical assistance to reviewers. Liaises with reviewers to ensure that all editorial changes are reflected in electronic texts; clarifies and finalizes changes ensuring that any additional revisions are included in final, camera-ready versions. - Ensures typographical accuracy in conformity with UN editorial rules and style; formats and finalizes publications and other documents for publication and printing using appropriate desktop publishing methods (such as InDesign). - Independently responds to queries from author sections, translators and text-processing units concerning documents submitted for processing. - Performs general office management functions for the Unit. - Trains and supervises junior staff in the performance of clerical and basic administrative functions, as appropriate. - Assists in the servicing of briefings for Member States and other stakeholders, including collecting and managing of statements; - Carries out other tasks requested by the supervisor on outreach activities, publications and the organization of intergovernmental meetings; covers other General Service staff functions when the staff members are absent on annual or sick leave.

Competencies •Professionalism: Knowledge of UN documentation, the documents processing chain and relevant operational and administrative policies and procedures; knowledge of UN editorial policies and practices. Knowledge of the Editorial, Terminology and Reference Service and the roles of related services/sections. Ability to research and organize information required, including for the preparation of statistical reports. Solid writing and analytical abilities with sensitivity to nuance. Ability to spot errors and inconsistencies in a text. Shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines and achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. Education High school diploma or equivalent is required.

Work Experience A minimum of seven years of experience in screening and registering UN documentation submitted for processing, or in desktop publishing, and in providing reference and technical support to language staff is required.

Experience in using Microsoft Office applications, in particular Word, Excel and PowerPoint is required.

Experience with specialized desktop publishing software (InDesign) is desirable.

Experience with web content management software (Drupal) is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

Special Notice This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
