The International Rescue Committee (IRC) is seeking a proactive, organized, and hard-working self-starter to provide high quality operations and administrative support to the office of the Vice President of two critical fundraising departments: International Philanthropy and Partnerships (IPP), a team of global fundraisers who drive more than 50% of the organization’s total private-sector revenue, from partners including corporations, foundations, and other innovative funding streams; and Global Partnerships and Philanthropy Services (GPPS), a team of functional specialists also based around the world, which provides all elements of cultivation, support, and stewardship to high-value partners with specialized functions such as prospect research, workplace giving, field experience, shared-value partnerships, and digital partnerships innovation.

Since its inception in 1933, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster. This role is responsible for running a diverse and critical range of administrative, logistical and management services for the IPP and GPPS departments, which ultimately raise the resources we need to serve our clients. The Department Manager reports to the Director for Strategic Planning and Operations, supports the Vice President, works closely with colleagues across the globe, and liaises with external parties. Working in the VP office will expose this candidate to the whole spectrum of administration, fundraising, and partnership support conducted by these two large and hard-working global teams.

The ideal candidate has direct experience working in a support role for a senior leader in a complex organization. They will also have excellent time management and interpersonal skills and will demonstrate passion for the IRC's mission and dedication to the organization's diversity, equity, and inclusion values.

Major Responsibilities:

• Lead the daily workflow of the VP IPP/GPPS, including scheduling, handling appointments, and streamlining emails and successful engagement with the team, donors/partners as well as the wider organization.

• Coordinate the preparation of meeting materials and reports for the VP IPP/GPPS, including proactive requests from colleagues, assembly of materials, and light research when needed.

• Conceptualize and coordinate domestic and international travel as needed, including travel briefs, program meetings, flight, accommodation, visa application, ground transportation and general logistics related to travel

• Handle, review and submit expense reports, purchase orders, vendor contract payments and other finance transactions under the direct purview of the VP. Support department-wide rollout of systems and processes related to expensing.

• Act as central communications point for the Director IPP/GPPS to ensure a cohesive department culture by designing, developing and implementing effective communication strategies and communicating regularly with relevant staff.

• Coordinate internally and with other departments to plan leadership and staff meetings and organization-wide activities to promote a positive work culture and encourage interaction within and across teams

• Work with Director and Officer IPP/GPPS on team off-sites, meetings, presentations. This includes presentations, preparation, logistics and more.

• Perform other job-related duties, as assigned.

• Maintains a technology supplies database for the entire department.

• Interest in the humanitarian sector and the IRC’s mission

• Strong computer proficiency in Microsoft Word, Excel, Power Point and Outlook. Adept at learning new technology platforms.

Language Skills: English (fluent); French, Spanish, or Arabic is a plus

Working Environment: This role requires working remotely part time (i.e., telecommuting). Applicants will need a home or alternate workspace where they can effectively complete their work during regularly scheduled hours.

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
