Background Information - Job-specific

Under the leadership of the Head of the Information Management System and Data Analytics (IMSDAU) Unit of the Guidance Learning and Reporting Section (GLRS), the incumbent will be part of the IMSDAU Data management team. IMSDAU manages and develops a business-critical Grant Management System (GMS) for two Pooled Fund mechanisms CBPF and CERF. After the first launch in 2014 for Country-based Pooled fund (CBPF) globally, the system continued with regular upgrades and improvements to make the platform a unique system in UN secretariate covering the entire allocation cycle of pooled funds. The system is operational in more than 20 countries, where more than ten thousand users from National NGOs, International NGOs, and United Nations agencies use to manage their grant applications. The annual approval of grants for CBPF through GMS is USD 1.2 B. The system promotes inclusiveness of partners, better compliance with CERF and CBPF operational modalities, improves the transparency of the grant process, greater accountability, and enhanced data management. The system is designed for performance and function — it is fast, secure and promises to deliver excellent experience for all stakeholders.

IMSDAU is leading the development of the joint Grant Management System (OneGMS) for the Central Emergency Response Fund and OCHA’s Country-Based Pooled Funds (CBPF), and continued improvements of the funds’ joint datahubs and internal business intelligence dashboards. In 2023, GLRS launched the first version of the OneGMS to enable a common project and reporting templates across different funds. The system covers entire allocations, partnerships, and reporting cycles for pooled fund operations. The IMSDAU team based in Geneva supports all country offices and HQ with guidance, training and resolution of any issues faced by GMS user.

Functional Responsibilities

Reporting to the GMS Technical Support and Training coordinator, in IMSDAU, GLRS, the Communications Assistant - Digital and Content is responsible for keeping the guidance and documentation related to training packages of Grant Management System for Pooled funds. The Communications Assistant - Digital and Content ensures the IMSDAU managed Help Portal for regular trainings are kept up to date and reflects information linked to regular upgrades or new modules developed for Grant Management System.

The functional responsibilities are:

  • Manage the GMS YouTube channel and continuously update the video tutorials using the online video editing tool.
  • Review, consolidate and manage the GMS Help Portal content in English, French and Spanish (on demand).
  • Create, edit and update internal and external communication and visibility materials, including to Donors.
  • Manage two pagers for OneGMS and Data Hub or other products requested by the Management.
  • Regularly prepare training materials – e.g. flowcharts, and presentations to train field users.
  • Regularly create new, edit, publish and update GMS Tutorial videos based on the new releases of OneGMS.
  • Create, edit and update GMS Blog content to keep our field users updated on various changes rolled out on platform.
  • The candidate's primary responsibility will be to create, manage and support online documentation, including videos and user manuals mapping to CBPF and CERF business processes in GMS, depending on the Unit's needs.
  • Participate in moderating, conducting and leading training for GMS users.
  • Provide advice and suggestion to enhance the GMS, blog, Data Hub and Help portal.
  • Under Information Management practices regularly keep track of content analytics.
  • Perform other duties as may be reasonably required and in line with the incumbent's scope of services above (e.g. translations, content creation, managing support desk incoming requests, etc.).

Education/Experience/Language requirements

a. Education

  • Completion of Secondary Education is required.
  • Bachelor's degree in a relevant field will be considered an asset and may substitute for some of the required years of experience.

**b. Work Experience

**Required :****

  • Minimum of 4 years of relevant work experience in content translation or linguistic services is required.
  • A minimum of two years of French translation and content preparation.
  • Basic experience working with MS word, Google drives, or MS office suites.

Desirable: (the following experience is optional; candidates who do not have it are welcome to apply):

  • Skills acquired displaying creative and critical thinking to solve promptly issues, quick learning of new technology, business processes and embrace in taking new initiatives.
  • Knowledge of MS Excel for data analysis and data manipulation.
  • Basic knowledge of YouTube channel and online content management

c. Languages

  • Fluency in English (read, write, speak) is required
  • Fluency in French (read, write, speak) is required
  • Knowledge of Arabic and Spanish would be a strong asset.

Contract type, level and duration

Contract type: Individual Contractor Agreement (ICA) Contract level: Local Individual Contractor Agreement (L-ICA 4) Contract duration: 12 months, subject to organizational requirements, availability of funds and/or to satisfactory performance.
