Major responsibilities

1.COMMS OPERATIONS

Comms Operations refers to the general function leadership, operating model, management of people, and systems supporting the functional outputs of Communications & Public Engagement.

  • Participate and contribute to the Annual Business Plan (i.e. annual work planning) process for the Communications Team, which bring the Communications Teams’ efforts in line with the Global Communications Strategy, WVSI PTL Regional and WVSI Country Strategies, and as directed by the Resource Development & Communications Manager.
  • Participate in weekly Communications meeting to set priorities for the week, track against the respective FY’s Annual Work Plan, and update the spreadsheet.
  • Ensure all written, photographic, video, web and other resources produced by WVSI staff (Communications staff and otherwise) and/or its freelancers are done so in alignment with World Vision child protection standards and Global Brand. Support WVSI’s compliance with global branding and corporate ide by enforcing and/or providing guidance to WVSI staff on compliance.
  • Caption, upload photos, videos, resources and other collateral produced by the Communications Officer to World Vision sharing platforms (ContentFlow, Digital Media Centre, wvrelief) in a timely manner, as directed by the Resource Development & Communications Manager.
  • Provide Communications training to staff in Area Programs to support the creation of resources as needed and/or as required by the Resource Development & Communications Manager.

2.CONTENT & CREATIVE

Content and Creative refers to the creative communications work of producing stories and resources for all of our different stakeholders and audiences: community, internal, external.

  • Research, write, design and publish stories, resources (e.g. factsheets, country overview, etc.) and other written content about the work of WVSI in line with the Global Communications Strategy, WVSI PTL Regional and WVSI Country Strategies, and as directed by the Resource Development & Communications Manager.
  • Produce, edit and publish photos and videos about the work of World Vision Solomon Islands (WVSI) in line with the Global Communications Strategy, WVSI PTL Regional and WVSI Country Strategies, and as directed by the Resource Development & Communications Manager.
  • Donor-funded material: ensure that donors and partners are adequately acknowledged on all relevant communications material, and is in line with Visibility Requirements as set by the donor (if applicable).
  • Support the development and/or integration of Global Power Claims into resources as appropriate.
  • Support the development of a superbrief(s) in FY19 for the LEAP3 Core Project Models: Channels of Hope, Savings Groups and/or Secure Livelihoods of the Rural Poor.

3.CORPORATE COMMUNICATIONS

Corporate Communications, which covers executive, internal and collaboration, staff engagement, risk and crisis, and brand comms, all together plays a key role in connecting and inspiring staff, keeping them informed and engaged through change with the wider mission of the organisation – ensuring the brand of the organisation is protected from risk and crises and is aligned globally. Therefore, an integrated approach to managing all elements of this is necessary.

Global Brand Alignment

  • Participate in and support internal brand alignment efforts as directed by the Resource Development & Communications Manager.

Risk and Crisis Comms

  • Contribute to the development of the Crisis Comms Plan, as directed by the Resource Development & Communications Manager
  • Contribute to the Comms Plan & Messaging (statement, Q&A, spokesperson identified) for WVSI’s Top 10 risks and update on an annual basis.
  • Contribute to and/or facilitate orientation on ERM/Risk Management Committee on the Comms Plan & Messaging for Top 10 risks.

Executive Comms

  • Organize All Staff Town Halls and/or ‘Open Mic’ sessions with the Country Director and SMT to allow staff to engage with leadership in an informal manner.
  • Facilitate information flow from Country Director and SMT through the drafting and sending of proactive communications with content from Country Director and/or the SMT which communicates with all staff the main issues and topics being discussed/decisions taken during SMT and/or SLT meetings.

Internal Comms & Collaboration

  • Propose new ideas to improve the internal communication of WVSI, and pursue development of new ideas as approved and/or as directed by the Resource Development and Communications Manager.

Staff Engagement:

  • Support Resource Development & Communication on collaborating with P&C on staff engagement initiatives, such as Staff Recognition Programmes, Day of Prayer, town halls, staff retreat, to ensure that staff are inspired, motivated and connected. Proactively advise and/or suggest initiatives to support staff engagement as directed by the Resource Development & Communications Manager.

4.PUBLIC ENGAGEMENT

Public Engagement is the work of connecting local publics, be they supporters, donors, government, institutions, industry, or general public, with the work of World Vision. This is done through leveraging content created through specific channels to reach the right audience and the right time, social media, traditional media, real-world interactions.

  • Maintain WVSI’s active presence online through the WVSI website and social media (e.g. Facebook, Instagram, Twitter), contributing to efforts to ensure that WVSI is the #1 social impact brand in the country in terms of total # of fans/followers across all social media channels. Moderate audience engagement on social media platforms to ensure comments are not inappropriate or offensive.
  • Ensure WVSI website is up-to-date, including with updated project information for all grant-funded projects.
  • Liaise and network with national and local press/media, as directed by the Communications Manager, to support media coverage of WVSI programs. Collaborating with media to bring public attention to key issues on children and other WVSI programs. Liaise with journalists as directed by the Resource Development & Communications Manager.
  • Create and manage a tracker to record when the public takes action, and when WVSI spokespersons are quoted externally, as a result of the Annual Work Plan being implemented, on a monthly basis:
    • # of actions in support of ITAW Campaign
    • Y/N WV is #1 social impact brand in country by total # of fans across all social media channels (e.g. Facebook, Twitter, Instagram, etc.)
    • # of traditional media hits (e.g. TV, radio, newspapers, websites, magazines).
    • # of social media posts per week
    • # of times spokespersons speak or are quoted externally
  • Maintain an updated contact list of journalists and media outlets.
  • Work with Resource Development & Communications manager to identify potential story angles for international media (primarily media in the following countries: Australia and New Zealand) to highlight WVSI programs and priority issues in international media outlets, for consideration, as prompted by relevant moments and/or directed the Resource Development & Communications Manager.
  • Organize and host journalist, vlogger, blogger, Support Office resource gathering trips, WV leader and VIP field visits as prompted by relevant moments and/or directed the Resource Development & Communications Manager.
  • Work with the Communications Manager of reputational risk issues are identified, including the Top 10 risks. Take action in line with the risk management measures respective to the risk, and/or as directed by the Resource Development & Communications Manager.
  • Proactively identify strategic opportunities to increase the visibility of WVSI as a child-focused organisation, maximizing appropriate channels for effective, impactful reach, in line with the Annual Business plan and as directed and as approved by the Resource Development & Communications Manager.

5.HEA COMMUNICATIONS

HEA Communications is our work to ensure that we are prepared for and are responding to emergencies and disasters with speed and quality. Enabling World Vision’s reputation to increase in visibility and gain greater influence in the industry and with donors.

Preparedness

  • Contribute to the development of the Communications Disaster Preparedness Plan.
  • Participate in basic training and orientation in emergency communications readiness checklist, Minimum Standards and Agility Standards, EMS and DM standards.
  • Contribute to preparation of generic press releases, statements and key messaging for emergencies/disasters:
    • Declaration
    • Alert
    • Press Release
    • Q&A
    • Talking Points for Spokespeople
    • Advocacy Messaging
    • Content Plan to support the various phases of the response
    • Infographic
    • Factsheet template
    • External Report template
  • Support briefings of WVSI SMT and staff prior to external engagement with media, providing guidance, equipping with contextualized key messages/Q&A/talking points/advocacy messaging as necessary
  • Maintain list of media (e.g. journalists/editors) contact details (mobile, skype, email)
  • Maintain list of freelance photographers/videographers ready for extra surge.

Equipment

  • Participate in orientation on Minimum Equipment Standards (see Standards per HEA Comms Assessment). Responsible for ensuring Communications equipment meets Minimum Equipment Standards. Maintain standards list on shared drive for Communications Team reference.

WV Platforms/Systems

  • Publish to WV Relief, if required and as directed by the Resource Development & Communications Manager.
  • Responsible to upload all photos/videos and captions, as applicable, covering an emergency/disaster on Digital Media Centre.

Policies & Guidelines

  • Participate in orientation on, and adhere to, Child Protection digital content capture guidelines.
  • Participate in orientation on, and adhere to, Guidelines for Mental Health Psycho-Social Support (MHPSS).
  • Participate in orientation on, and adhere to, Social Media guidelines and protocols.

Pre-positioned Documents (for Resource Acquistion)

  • Responsible for preparing documentation, approved and ready in the event of emergency/disaster:
    • Country Profile
    • Map: country with Area Programs and Funding Sources marked
    • DM and DRR Profile
    • Capacity Statement showcasing Disaster Management Portfolio

Capacity Building Field Staff & Added Surge

  • Responsible for training field staff on writing, photographer, basic b-roll, vlog, in high disaster-risk Area Programs (i.e. all)
  • Responsible for preparing template ToR for freelancers who can be deployed for emergencies to add to surge capacity of Country Office

Emergency/Disaster Onset

  • In the event of an emergency (eg: earthquake or flood) travel to disaster-affected communities (where possible), as directed by the Resource Development & Communications Manager, to gather compelling resources highlighting how communities, particularly children, have been affected and how World Vision is helping.
  • Responsible for posting approved emergency communications content (e.g. stories, photos, videos, press releases, etc. as applicable per platform) on WV sharing platforms (Digital Media Centre) and website. Share link to content with the WV partnership or as directed by the Communications Manager.
  • Where travel to communities is limited in an emergency/disaster situation, coordinate with field staff to gather appropriate content.
