Contract

This is a G-3 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 3 years of experience, depending on education. More about G-3 contracts.

OBJECTIVES OF THE PROGRAMME

The Administrative Unit, with the Head of WHO Country Office and Director, Pacific Technical Support, supports WHO colleagues in Fiji and other CLOs in the South Pacific with all administrative requirements needed to achieve WHO goals.

DESCRIPTION OF DUTIES

Under the direct supervision of the Programme and Administrative Officer (PAO), the incumbent performs the following functions:

1. Issues Request for Quotation/Proposal (RFQ/RFP) on behalf on Technical Units for procurement projects and ensures accuracy of specifications, data, etc.;

2. Performs a quality check of all procurement done in the office, namely due process as per procurement rules, bidding process, comprehensiveness of supporting documents prior to submission in GSM;

3. Maintains and updates electronic files on all procurement transactions;

4. Liaises with SUP in the Regional Office for any clarifications and makes necessary follow-up as needed;

5. Dispenses office supplies. Maintains/updates logs and records on supplies and equipment and assists in the conduct of yearly inventories;

6. Attends to inquiries by staff and searches information from available material or electronically;

7. Assists in undertaking searches for files and background documents and reports;

8. Controls receipt, storage and issues of supplies and equipment;

9. Maintains the orderliness, storage and issues of supplies and equipment;

10. Conducts periodic review of all stock items on a regular basis;

11. Submits reports, as necessary, as to the conditions, damaged goods and losses for submission and appropriate action by PAO; and

12. Performs other related duties as required.

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school education or equivalent. Desirable: Certification in procurement, administration, or equivalent.

Experience

Essential: At least 2 years of clerical experience in an administrative/office environment including procurement and/or logistics. Desirable: Previous experience in a UN or other large international organization.

Skills

Knowledge of commercial and WHO administrative procedures;

Good knowledge of storekeeping methods;

Ability to maintain stock records and ability to encode date;

Ability to use word processing equipment; use of other applications preferable;

Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain a high standard of personal conduct.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at FJD 23,355 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
