Job Title: Program Support Officer

Unit: Child Protection

Salary Range and Band: 8B

Key working relationships:

• Position Reports to: CP Manager

• Position directly supervises: N/A

• Internal collaborations within IRC: MEAL Officer, PSS workers/community mobilizers, case workers, PSS Officer, CM Officer, MHPSS Officer, Capacity Building Officer, Fleet Assistant, Finance Assistant, Supply Chain Officer

Duty Station: Dnipro, Kharkiv, Ukraine

JOB SUMMARY:

The Program Support Officer will be responsible for data information, management, and analysis from the IRC Ukraine CP Program. The position will provide required support on design and implement new technology to be used to improve overall data collection and management responsible for helping to implement the CP program portfolio. The Officer will ensure that all necessary IRC systems, policies and procedures are understood and used by unit team members. Where policies and procedures still need to be implemented, the position will be responsible for working with relevant departments and staff to develop them.

MAIN RESPONSIBILITIES:

Program Support

- Work with the CP Manager and overall team to provide functional support for operations. - Maintain various trackers, folder structures, and other project management functions. - Liaise with operations focal points to ensure the smooth operations of projects.

Procurement and Sourcing

- Develop purchase requisitions and other finance transactions, coordinating with Global Supply Chain, Finance or outside vendors as needed. - Maintains supply inventory by checking stock to determine inventory level, anticipate needed supplies, placing and expediting orders for supplies.

Departmental Support

- Represent the team in ongoing intra-departmental projects, working closely with operations support leads from other units. - Maintain records and tracking for use by departmental leadership. - Format documents for internal and external dissemination. - Assist with the planning and logistics of workshops, conferences, meetings, and team retreats. - Assist in data collection and protection monitoring upon the request of the CP Manager, Sr CP Officer, and MEAL Officer. - Support in other administrative and scheduling tasks.

JOB REQUIREMENTS

Education: University Degree in International Development, Business Management, information management/technology and systems, computer science, data science, or a related field required.

Demonstrated Skills and COMPETENCIES:

- Minimum 2 years previous experience working in a similar support function, NGO experience is an advantage.

- Languages: Intermediate+ English level, fluency Ukrainian and Russian

- Highly organized with a strong attention to detail

- Computer literate, Excellent Microsoft Office skills and experience with financial and procurement systems.

- Previous experience in project management in related sectors/programs.

- Aptitude for, and interest in, providing creative means of training and developing staff in organizational systems and procedures.

- - Demonstrated understanding of and ability to maintain confidentiality and respect for clients/beneficiaries

- - High degree of flexibility and strong ability to organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail.
