You have:
- Minimum 5 years of experience in executive support, preferably at senior leadership level.
- Excellent French and English writing & verbal communication.
- Experience in managing high-level agendas, confidential workflow, and fast-paced executive environments.
- Strong proficiency with Office Suite, SharePoint/TeamSpace and collaborative tools.
- Ability to synthesize complex information and coordinate briefing documents.
- Strong organization, prioritization and stakeholder management skills.
- Experience in finance, resource mobilization, HR/people domain or institutional governance.
- Knowledge of ICRC ecosystem or complex international organizations.
- Swiss-German or German language ability considered a significant plus.

About the ICRC
The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational, and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Context
The International Committee of the Red Cross (ICRC) works worldwide to assist and protect people affected by armed conflict and promote international humanitarian law. The evolving institutional context has led to the creation of the People, Finance & External Resource Mobilization (PFM). To support the Chief Financial Officer (CFO), we are recruiting an Executive Assistant responsible for high-level agenda management, coordination, preparation of governance material, and information management. The role will also provide direct support on external engagement with donors, authorities, partners, and internal governance bodies.
Purpose of the role
The Executive Assistant ensures efficient functioning of the CFO’s office through advanced executive support, agenda and priority management, and documentation preparation for decision-making. The role serves as a key interface with internal and external stakeholders, consolidating briefing materials, talking points, donor engagement files, and internal governance submissions. The incumbent will maintain workflow, correspondence, and information management systems similarly to existing EA roles at the ICRC.
Main duties and responsibilities
Executive Support to the CFO
- Manage and prioritize the CFO’s agenda and appointments; anticipate needs and ensure preparation material is available ahead of time.
- Coordinate meetings, engagements, and missions involving internal bodies, donors, authorities, Movement partners and external stakeholders.
- Prepare files for decision-making, consolidate background notes and coordinate talking points in collaboration with technical teams.
- Support presentations for governance mechanisms, internal boards, and donor-related discussions.
- Manage correspondence and ensure quality control in English and French with proper protocol.
- Draft and/or format briefing notes, minutes, summaries, and formal letters as needed.
Stakeholder Coordination & External Engagement
- Act as coordination focal point for donor and authority-related meetings, supporting preparation, follow-up, and documentation.
- Ensure smooth liaison with Movement partners, embassies, donors, authorities, and high-level external interlocutors.
- Prepare visit programs, coordinate logistics, talking points, and briefing kits for external meetings.
- Support diplomatic protocol and high-level representation.
Information & Workflow Management
- Organize and maintain information management systems, briefing folders, governance files, and action trackers.
- Ensure confidentiality, documentation accuracy, and quality of information flow within the PFM leadership team.
- Support collaboration tools, document repositories, and structured access to files and decisions.
- Follow-up on decisions, deadlines, delegated tasks, and priorities linked to the CFO’s office.
Administrative and Operational Support
- Coordinate travel arrangements, expense claims, logistics, mission files and onboarding/offboarding of staff interfacing with CFO office.
- Support preparation of retreats, executive meetings, internal events or governance sessions.
- Undertake ad-hoc tasks to ensure smooth operations of the CFO office and PFM Department.
