BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

UNWFP's Regional Bureau for the Middle East, Northern Africa and Eastern Europe (RBC), provide strategic and technical guidance to its operations in 20 countries (Algeria, Armenia, Egypt, Hungary, Iran, Iraq, Jordan, Lebanon, Libya, Moldova, Morocco, Palestine, Poland, Romania, Slovakia, Syria, Tunisia, Turkey, Ukraine, Yemen).

We are looking for an enthusiastic, committed Business Support Officer to the RBC Regional Director (RD) of the WFP regional office who is keen to work for a dynamic international organization with a strong mandate.

Under the direct supervision of the Special Assistant to the RD, the Business Support Officer will undertake a wide range of administrative in coordinating the smooth administrative functioning of the RD’s office and providing executive support-related tasks for the Regional Director. The incumbent should have excellent oral and written English and have demonstrated affinity with working in an international context. ACCOUNTABILITIES/ RESPONSIBILITIES:

  • Handle all incoming correspondence for the Regional Director (RD) and ensured they are actioned or redirected to relevant units/offices;
  • Draft correspondence on issues relevant to the RD activities;
  • Assist in the overall day-to-day management and coordination of the RD Office activities, including follow-up of decisions /and feedbacks emerging from Senior Management, preparation of agenda items, collation of presentation materials and preparation of organization and notes for the record
  • Maintain the RD’s calendar, contacts with high-ranking visitors, arrangement of appointments and meetings;
  • Act as the focal point for all of the RD’s office travel plans including logistical arrangements, granting of visas, accommodation, etc.;
  • Establish and maintain relations and effective communication with HQ counterparts, including the Executive Director (ED), Deputy Executive Director (DED) and Assistant Executive Director (AED)s’ offices;
  • Establish and maintain regular contacts with Country Offices and RBC Heads of Units to obtain relevant information, briefs, backgrounds documents and other materials in support of the RD day-to-day activities;
  • Review as appropriate all authorization requests including releases related to admin, procurement, HR, finance and other unit requests requiring the RD signature for approval;
  • Maintain roster of high-level partners, including emails, telephone lists, addresses, etc.;
  • Prepare correspondence, directives, comments or support the preparation of briefing notes, and undertake searches of information, for and on behalf of the Regional Director;
  • Maintain filing system to ensuring safekeeping of confidential materials and regular documents needed by the RD for day-to-day activities;
  • Screen all incoming calls and correspondence to the RD’s office;
  • Ensure that confidentiality on all subject matters is maintained as required;
  • Perform other related duties and assignments as and when required.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education: Advance University degree in International Relations, Business/Public Administration, Information Management, Communication, Social Sciences, Commerce, Management or any related field. First University Degree in the relevant fields with additional years experience can be accepted in lieu of the Advance University degree.

Experience: At least three years (for candidate with Master's degree) or five years (with Bachelor's degree) of professional and progressively responsible work experience in proving high level planning, coordination, administration and business support for the Executive level is required.

Prior experience with the UN, other International organization, diplomatic institutions or embassy working in capacity as Assistant/Adviser to senior management / official is an advantage.

  • Specialized knowledge of the application of common business processes, practical business support methods, procedures and systems used in the area of work, gained through technical training and/ or work experience.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to proactively identify and recommend areas for improvement to the design and delivery of specialized services and develop customer focused solutions and action plans
  • Ability to build relationships with a variety of individuals across functions and communicate in a highly impactful way this is tailored to the audience. A strong communication and interpersonal skills while engaging with various stakeholders.
  • Experience in coordinating the work of others and self and training and supporting others.
  • Excellent writing/editing skills
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

Languages: Fluency in both oral and written communication English & Arabic
