STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE

Education

Completion of secondary school education. First University degree in Finance, Business Administration, Accounting, or related fields is desirable.

Experience

Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Competencies & Skills

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.

Languages

Fluency in both oral and written communication in English and Hindi.

KEY JOB RESPONSIBILITIES

  1. Process requests for creation and/or maintenance of Vendor or Customer Master Records from Regional Bureau/Country Offices and HQ units in accordance with established procedures upon receipt of relevant documentation.
  2. Verify supporting documents and forms received from HQ and field offices.
  3. Respond to above-mentioned requests and escalate where appropriate within 48 hours from receipt of request or query.
  4. Provide guidance to HQ and field offices on issues relating to RPA/Vendor or Customer Master Records creation and management.
  5. Consolidating Input file for BOT screening. Uploading it in FTP folder. Coordinating with HR focal points on cleared and sanctioned matches. Coordinating with VCMM staff for creation of customer and NETR records. Blocking sanctioned records in WINGS
  6. Set up, classify, and maintain unit files. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  7. Ensure that VMR/RPA documentation received is properly filed and authenticated by the approving officer.
  8. Assist in the preparation of VMR/RPA related reports/data as necessary. Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
  9. Search for, retrieve, compile, assemble and archive a variety of statistical data from computer files, records, databases, reports. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff to support clients to deliver their work.
  10. Ensure data integrity in the database, analyze results and initiate corrective actions when necessary. Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
