JOB PURPOSE

To deliver a wide range of business support processes and activities for supply chain.

ORGANIZATIONAL CONTEXT

Job holder reports to the Head of Supply Chain Unit. Job holders at this level are responsible for completion of a range of procurement/logistics processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend straightforward courses of action to staff, and technically support other staff.

KEY ACCOUNTABILITIES (not all-inclusive)

• Collect, sort and disseminate correspondence, reports and other material to meet the required standards in a timely manner;

• Review contract files of last 2 years against the provided checklists and address gaps;

• Maintain an organized and efficient electronic archive for the unit’s files and data base.

• Provide operational coordination and administrative services, to support procurement and logistics projects and activities, following standard processes and contributing to the effective procurement of goods and services.

• Identify and recommend potential suppliers, and compile data/documents to support the selection of suppliers, ensuring standard processes are followed.

• Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food/goods & services assistance to beneficiaries.

• Manage updates and further develop databases and records, to ensure information is accurate, organized, and available for others to access, and supports reporting requirements.

• Review, record and prioritise purchasing requests, ensuring all supporting documentation is received

• Proofread written documents, such as standard reports and correspondence, to contribute to the accuracy of written information developed;

• Provide a set of standard business support activities, where required, to contribute to the effective functioning of business operations;

• Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Experience: 2-3 years of progressively responsible work experience in the relative business stream with experience in general administrative work and supply chain.

Knowledge & Skills:

• Knowledge of specialised common business practices and methods, gained through relevant technical training and experience. • Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service. • Ability to carry out basic data analysis and independently rectify problems requiring attention. • Good communication skills required to give and receive information and work with a variety of individuals. • Ability to maintain confidentiality. Language: Fluency in both oral and written communication in English and Farsi.

START DATE: ASAP DUTY STATION (CITY, COUNTRY): TEHRAN, IRAN REPORTS TO: HEAD OF SUPPLY CHAIN UNIT
