ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders performing front office management functions typically report to the Deputy Directors or Head of Offices. In cases where these positions support a specific business stream, the reporting line may be to the Head of Unit, Chief, or the designate. At this level job holders are expected to take responsibility for completion of a range of business support activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to more junior colleagues.

JOB PURPOSE

To support all Operational Information Management and Performance Reporting (OIM & PR) activities and contribute to the establishment and presentation of standard operating picture of WFP programme portfolio and associated results that facilitate informed and timely decision-making at all levels throughout the organization.

STANDARD MINIMUM QUALIFICATIONS

Education: university or Bachelor's degree in Communication, Journalism, Public Relations, International Affairs , Business or any other related field Experience: Five or more years of progressively responsible experience on reporting , communications, or Humanitarian Affairs including Humanitarian coordination, experience in Information management will be an asset

Knowledge & Skills:

  • Knowledge of specialized common business practices and methods, gained through relevant technical training and experience.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
  • Ability to carry out basic data analysis and independently rectify problem
  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to maintain confidentiality.
  • Ability to work under pressure with minimum supervision
  • Attention to detail and ability to organize
  • Excellent computer skills - Word, Excel and Internet
  • Skills in graphic design would be considered an asset

Language: Fluency in both English & Arabi Languages

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Collate information for inclusion in reports, documents and correspondence, to support the development of corporate and office reports and the effective work of other staff.
  2. Respond to standard queries and provide timely and accurate guidance related to OIM & PR.
  3. Process and manage routine information management tasks in various functional areas, to draft and ensure timely development of reports, briefs, factsheets, etc.
  4. Manage and maintain records and databases, to ensure all OIM products are organised and readily available for staff.
  5. Maintain relationships with a range of individuals through provision of business support to assist in information sharing and service delivery.
  6. Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
  7. Contribute to improvement of OIM business procedures and processes.
  8. Collect and perform basic analysis of data to contribute to quality information management.

Key Accountabilities

  1. Regularly assess and propose creative initiatives for developing improved, streamlined, and harmonized OIM & PR products serving the various needs of all technical units.
  2. Monitor efficiency of established OIM/reporting systems and cycles and propose improvements or use of innovative tools when needed.
  3. Assist in the development and layout of programme factsheets and briefs for various donors and audiences.

TERMS AND CONDITIONS

This is a Special Service Agreement, contract duration will be for 3 months
