ORGANIZATIONAL CONTEXT

The Business Support Assistant will perform administrative support functions in the front office (Management) and provide administrative support to team(s) with the reporting line to the relevant Head of Unit, or the designate. At this level, work is carried out under minimal supervision. Job holder is expected to produce organised and accurate work, undertaking specific business support activities.

JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A university degree in International Relations, Business Administration, Information Management and Communication, or an equivalent combination of training and experience in a related field will be an asset. Experience: Two or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. Language: Fluency in both written and oral communication in English and Portuguese Languages.

KNOWLEDGE & SKILLS

• Proficient in the use of office equipment and computer software packages, such as Microsoft Word. • Knowledge of work routines and methods in order to complete processes under minimal supervision. • Uses tact and courtesy to give and receive information to a wide range of individuals. • Ability to identify data discrepancies and rectify problems requiring attention. • Demonstrates integrity by modeling the UN’s values and ethical standards. • Expertise in principles and communication techniques in accordance with corporate standards. • Respect the confidentiality of certain sources of information.

KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive)

1. Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients. 2. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources. 3. Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation. 4. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function. 5. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work. 6. Take responsibility for data integrity to facilitate availability of accurate information in corporate systems. 7. Assist in creating simple images or information using standardized templates, such as graphs or tables to support the drafting of reports for staff. 8. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff. 9. Support the maintenance of office files, documents and records in accordance with established systems and processes, so that information is current and readily available for staff. 10. Respond to simple routine queries with readily available support by senior staff, and escalate where appropriate, in order to provide a timely and accurate response to enquiries.

TERMS AND CONDITIONS

Type of Contract: Service Contract - Level 4

Duty Station: Maputo

Duration of Contract: 12 months (with a possibility of renewal)
