ORGANIZATIONAL CONTEXT

This job is based in Country Office Algiers. Job holders performing specific business functions, reports to Country Director or the delegate. At this level job holders are expected to take responsibility for completion of a range of business support activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to more junior colleagues.

JOB PURPOSE

To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Process and manage routine administrative tasks in various functional area to contribute to the effective and timely management of information.
  2. Participation in the organization of high-level meetings and manage CD calendars, mission, and appointments with partners.
  3. Ensure protocol support to obtain immunity and privileges to Algeria CO staffs and consultants.
  4. Provide Country Director with analytical reports on Domestic and International policies of host Government as well as update on political situation and decisions which has direct and/or indirect impact on WFP and U.N agencies activities in the country.
  5. Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
  6. Respond to standard queries and provide timely and accurate guidance.
  7. Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
  8. Manage and maintain records and databases, to ensure information is organised and readily available for staff.
  9. Maintain relationships with a range of individuals through provision of business support to assist in information sharing and service delivery to staff.
  10. Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
  11. Contribute to improvement of business procedures and processes.
  12. Collect and perform basic analysis of data to contribute to quality business information management.
  13. Provide guidance to junior colleagues in performing their duties.

STANDARD MINIMUM QUALIFICATIONS

Education:

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience:

Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills:

  • Demonstrating a high level of professionalism and confidentiality when dealing with sensitive information.
  • The ability to prioritize tasks, manage time, and handle multiple responsibilities while maintaining attention to detail is essential.
  • Building and maintaining relationships with stakeholders, partners, and other relevant individuals or organizations.
  • Adept at building relationships, collaborating with diverse teams, and working with people from various backgrounds and levels of seniority.
  • Capable of identifying challenges, analysing situations, and proposing practical solutions to address issues that arise.
  • Given the dynamic nature of international work, being able to adapt to changing circumstances and unexpected challenges is crucial.
  • Proficiency in using office software (such as Microsoft Office) and possibly other specialized software or tools used within the organization.
  • The ability to gather, synthesize, and present relevant information on various topics to support decision-making.
  • Accuracy in handling administrative tasks, preparing reports, and managing data is important for maintaining the quality of work.
  • Skill in planning and coordinating events, workshops, meetings, and conferences.

Language:

Fluency in both oral and written communication in English is required, as well as in Arabic and French.
