JOB PURPOSE

To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

ORGANIZATIONAL CONTEXT

This job is located in Paletwa under Pakokku Office of WFP Myanmar.

At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Senior Logistics Associate and overall supervision by the Head of Area Office in Pakokku, the incumbent will perform the following duties: -

  • Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
  • Analyze operational pipeline and planning for Paletwa operation, to ensure that Logistics requirements are taken into consideration.
  • Organize and track commodity movement from Paletwa warehouse to EDPs/FDPs of CPs/MoE.
  • Follow up with transporters and Partners to make sure that the commodities deliver from WFP Pakokku WH and WFP Sittwe WH are received in time with the right quantity and quality against waybills/delivery notes in Paletwa WH. Report the receiving update info to the supervisor.
  • Effectively receive/dispatch commodities including transshipment (truck to truck in Samee) against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of commodities including the quality in compliance with the established standards.
  • Closely working with Partners and monitor condition of the warehouse and commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage following WFP warehouse standards.
  • Together with Partners, conduct daily warehouse closing reconciliation and accurate inventory checks supporting internal control systems in compliance with the warehouse management requirements, prepare Daily Stock Movement Report and submit to Supervisors on a daily basics.
  • Perform daily inspections and prepare reports on the quantity and quality of the commodities received/dispatched and handled, detect promptly and analyse reasons for stock discrepancies/damages, investigate missing quantity and prepare warehouse loss reports recommending appropriate solutions, to enable informed decision-making.
  • Organize labors for warehouse operation and supervise the performance of labors during the activity taken place in warehouse compound. Ensure that the procedure and preventive measure of COVID-19 are strictly follow by visitor and labors.
  • Liaise with relevant internal and external stakeholders to support logistics operations management and contribute to effective service delivery.
  • Assist in programme related activities whenever required.
  • Perform any other appropriate duties as assigned.

STANDARD MINIMUM QUALIFICATIONS

Education

Completion of secondary school education.

Knowledge & Skills

• Proficient in the use of office equipment and computer software packages, such as Microsoft Word. • Knowledge of work routines and methods in order to complete processes under minimal supervision. • Uses tact and courtesy to give and receive information to a wide range of individuals. • Ability to identify data discrepancies and rectify problems requiring attention. • Ability to offer guidance or basic on-the-job training to more junior staff.

Language

Fluency in both oral and written in English and Myanmar.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

Preferable to have four or more years of progressively responsible work experience.
